About the Role
We are seeking an experienced Senior Contracts Specialist to support a fast-paced Research & Development (R&D) organization by managing the full contract lifecycle for a high volume of vendor and service agreements. This role is heavily focused on contract processing, documentation, and coordination, with much of the day spent reviewing, entering, tracking, and managing contracts through multiple systems.
The ideal candidate has experience within the biotechnology, pharmaceutical, life sciences, or medical device industry and is comfortable working cross-functionally with Clinical Operations, Regulatory, Legal, Procurement, and external vendors. This position requires exceptional attention to detail, patience, strong organizational skills, and the ability to manage multiple priorities while ensuring contracts move efficiently through the review and approval process.
Key Responsibilities
- Manage the full contract lifecycle, from contract request through execution, amendments, renewals, and contract closeout.
- Draft, review, and finalize a wide variety of contracts using approved company templates.
- Process and manage high-volume contract data entry, ensuring contract information is entered accurately and efficiently throughout the day.
- Maintain accurate contract records and supporting documentation within the Contract Lifecycle Management (CLM) system.
- Submit contract requests using Smartsheet (or similar tools), upload documentation into Coupa, and route agreements through Agiloft (or similar CLM system) for Legal review and approval.
- Track contracts throughout the approval process while ensuring all required documentation is complete.
- Partner closely with Clinical Operations, Research & Development (R&D), Regulatory Affairs, Legal, Procurement, Finance, Purchasing, and external vendors to ensure contracts move through the workflow efficiently.
- Review contract language for completeness, accuracy, consistency, and compliance with company policies.
- Monitor contract status and proactively follow up with internal stakeholders to prevent delays.
- Maintain detailed contract files, approval records, audit documentation, and supporting files.
- Support vendor onboarding and supplier contract activities.
- Assist with developing and improving contract templates, SOPs, workflows, and contract management processes.
- Communicate contract processes and requirements to internal business partners who may not be familiar with contracting procedures.
- Support multiple projects simultaneously while meeting deadlines in a collaborative, fast-paced environment.
Required Qualifications
- 4–10 years of experience as a Contract Specialist, Contract Administrator, or similar contracts-focused role.
- Bonus: Experience working within the biotechnology, pharmaceutical, life sciences, medical device, or similar regulated industry.
- Experience managing the full contract lifecycle, including drafting, reviewing, processing, executing, renewing, and amending contracts.
- Hands-on experience using Contract Lifecycle Management (CLM) systems to manage, track, and maintain contracts.
- Experience using Agiloft (preferred) or a similar CLM platform.
- Experience using Coupa for procurement and contract workflows.
- Experience with: Master Service Agreements (MSAs) Consulting Agreements, Service Agreements, Confidentiality Agreements (NDAs/CDAs),Statements of Work (SOWs).Work Orders. Change Orders , Amendments
- Experience maintaining accurate contract records, documentation, and approval tracking within a CLM system.
- Experience using Smartsheet (preferred), Google Sheets, and/or Microsoft Excel for contract request tracking and workflow management.
- Understanding of contract workflows, including submitting contract requests through tools such as Smartsheet, uploading documentation into Coupa, and routing contracts through Agiloft (or similar CLM platforms) for Legal review.
- Experience spending the majority of the workday processing, reviewing, entering, and managing contracts.
- Strong experience drafting, reviewing, and finalizing contracts using approved company templates.
