Human Resources & Operations Coordinator
Position Summary
We are seeking an experienced, organized, and highly motivated Human Resources & Operations Coordinator to support the daily operations of a growing Home Care organization. This role is ideal for someone who enjoys balancing people, processes, compliance, and operational excellence while making a meaningful impact on both employees and the clients they serve.
The Human Resources & Operations Coordinator serves as a key member of the leadership team by helping recruit and retain exceptional employees, improving operational workflows, ensuring regulatory compliance, and supporting organizational growth. This individual works closely with agency leadership to create efficient systems, promote accountability, and foster a positive workplace culture built on professionalism, collaboration, and continuous improvement.
The ideal candidate is proactive, solutions-oriented, detail-driven, and capable of managing multiple priorities in a fast-paced healthcare environment while maintaining the highest level of confidentiality and professionalism.
Essential Responsibilities – Human Resources
· Coordinate all phases of recruitment including job postings, applicant screening, interviewing, hiring, onboarding, and orientation.
· Manage applicant tracking systems, recruitment platforms, and candidate communications.
· Prepare offer letters, employment agreements, onboarding documentation, and personnel files.
· Maintain accurate employee records within the HRIS while ensuring compliance with federal, state, accreditation, and agency requirements.
· Monitor employee licenses, certifications, background checks, health records, annual competencies, and required training.
· Assist leadership with employee relations, coaching, performance improvement plans, investigations, disciplinary actions, and documentation.
· Maintain confidentiality when handling sensitive employee information.
· Support employee engagement, recognition, retention initiatives, and workplace culture.
· Coordinate annual evaluations, employee development activities, and training programs.
· Assist with HR compliance audits and regulatory inspections.
Operations
· Provide operational support to executive leadership and department managers.
· Assist with developing, implementing, and improving operational policies, procedures, and workflows.
· Monitor agency Key Performance Indicators (KPIs), prepare reports, and identify opportunities for operational improvement.
· Assist with staffing coordination, scheduling support, workflow management, and resource allocation.
· Coordinate meetings, prepare agendas, document minutes, and monitor follow-up action items.
· Support quality assurance, performance improvement, compliance audits, and accreditation activities.
· Assist with implementation of new technology, automation, and AI tools that improve organizational efficiency.
· Maintain operational records, dashboards, and reporting systems.
· Participate in special projects that support agency growth and strategic initiatives.
Leadership Support
· Serve as a professional resource for managers and employees regarding policies, procedures, and best practices.
· Promote teamwork, accountability, professionalism, and respectful communication throughout the organization.
· Assist leadership with conflict resolution using fairness, consistency, and sound judgment.
· Help develop and maintain a positive workplace culture focused on employee engagement and retention.
· Identify opportunities for process improvement and recommend practical solutions.
· Support change management initiatives as the organization continues to grow.
· Perform other duties as assigned to support agency operations.
Qualifications
· Associate's or Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.
· Equivalent education, certifications, and relevant experience will be considered.
· Minimum three (3) years of progressively responsible experience in Human Resources, Healthcare Operations, Office Management, or Administration.
· Home Care, Home Health, Hospice, Healthcare, or Human Services experience strongly preferred.
· Working knowledge of employment law, HR best practices, personnel management, and regulatory compliance.
· Experience with recruitment platforms, HRIS systems, payroll systems, applicant tracking systems, scheduling software, and Microsoft Office.
· Intermediate to advanced Microsoft Excel skills including reporting, formulas, and data analysis.
· Experience utilizing AI tools and workflow automation to improve efficiency is preferred.
· Valid driver's license with reliable transportation and the ability to travel between office locations as needed.

Physical Requirements

Work Environment
· This position works primarily in a professional office environment with frequent interaction with leadership, supervisors, clinical staff, caregivers, and administrative personnel. Occasional travel between office locations may be required. The position requires professionalism, sound judgment, confidentiality, flexibility, and the ability to adapt to changing priorities in a growing healthcare organization.

Work Schedule & Location
Full-Time, Monday–Friday
Primarily in person, with travel between office locations as needed.
Pay: $27.00 - $30.00 per hour
