Full Job Description

Job Overview

The Town of Palmer is seeking qualified candidates for the position of Administrative Assistant in the Treasurer/Collector office. This position is an excellent opportunity for a motivated professional seeking a rewarding career in municipal government. While initially an administrative position, the successful candidate will have the opportunity to develop the knowledge and leadership skills necessary for consideration for future advancement to an Assistant Department head positions based on demonstrated performance, qualifications, organizational needs, and available funding.

The Administrative Assistant performs general cash handling and clerical work in discharging duties of the office. The Administrative Assistant is responsible for maintaining and improving the efficiency and effectiveness of those areas under his/her control, as delegated by the Treasurer/Collector.

Duties

Performs a variety of duties ranging from routine to complex, requiring the exercise of sound judgment and discretion.
Plans, prioritizes, and completes assigned work independently and in a timely manner, referring only unusual or complex matters to the Treasurer/Collector.
Performs work that is generally reviewed for technical accuracy, completeness, and appropriateness of actions or decisions.
Manages the front counter service window and provides courteous assistance to the public.
Communicate with taxpayers in person, by telephone, and by email regarding the status of tax payments, billing questions, complaints, and related inquiries.
Creates daily batch payments and generates payment entry and journal reports for each processed batch to support monthly reconciliations.
Handles cash and reconciles cash drawers on a daily basis.
Processes forms and generates reports containing confidential information, including W-2s, 1099s, 1095-Cs, refunds, accounts payable records, and cash book reconciliations.
Performs other related duties as required.

Requirements

High School Diploma or equivalent required. Associate's degree preferred; at least three (3) years of experience in administrative work, with municipal government or financial institution experience desired. An equivalent combination of education and experience may be considered.
Excellent customer service and interpersonal skills
Knowledge of account reconciliation processes.
Ability to work collaboratively within a team environment while maintaining attention to detail.
Excellent organizational skills with the ability to manage multiple tasks effectively.
Proficiency in Microsoft Office Suite.
