Full Job Description

Job Title: Client & Administrative Services Coordinator (Wedding & Events)

Location: Lynn Haven, FL

Schedule: Monday – Friday, 9:00 AM – 5:00 PM (Strictly Office Based)

Starting Pay: $20/hr (Training Wage) with a defined path to $22.00+ within 6 months.

About Us: We are a powerhouse event company in Panama City Beach, executing over 400 full-service weddings and events every year. From planning and rentals to officiating and photography, we handle it all. We are a complex, high-volume operation that helps hundreds of couples have their best day ever.

About the Role: We are looking for a "Right Hand" to the Senior Planner who balances Left-Brain Logic with Right-Brain Creativity.

You will be the "Air Traffic Controller" of our office. While our crew is out executing events, you are the one ensuring the emails are answered, the staff is scheduled, and the payroll is accurate. BUT—you also get to be hands-on! This role includes a dedicated creative outlet where you will help design visual elements for our events.

This is the perfect role for someone who loves the wedding industry, is hyper-organized, but also loves to get crafty.

What You Will Do:

Client Experience & Sales: Respond to emails with enthusiasm! You will guide couples through booking packages, sell rental upgrades, and share in their excitement. You are the first "Yes!" they hear.
Creative Design & DIY: Use your creative eye to design planning packets and create custom decor. You will often use our Cricut machine to make custom vinyl signs and personalized details for events. (Experience with Cricut is a plus, but we can train you—you just need the artistic eye!)
HR & Staffing: Assist with staff scheduling, post to our Facebook job board, and track staff trainings and certifications to keep our team compliant.
Operations & Admin: Create and update weekly Payroll reports (must be accurate!), process photo galleries for delivery, and manage a large, revolving daily task list.
Networking: Represent the brand at local networking events 1–2 times per month to keep our community connections strong.

The Pay & Growth Path: We invest in our team. Because our business is complex, we use a "Step-Up" pay structure:

Start (Month 0-3): $20/hr. You will be in intense training learning our software, packages, processes, and design standards.
Level Up (Month 3-6): Raise to $21/hr upon successful 90-day review.
Fully Independent (Month 6+): Raise to $22-23/hr once you can manage the desk, payroll, and creative projects independently.

Annual Bonus: Year-end profit-sharing bonus based on sales performance and operational savings.
