Full Job Description

Job Summary

We are seeking a highly organized, proactive, and trustworthy Executive Personal Assistant to provide comprehensive administrative and personal support to a busy executive on a “as needed” basis. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate will serve as a trusted right hand, helping to maximize productivity by managing schedules, coordinating meetings, handling administrative responsibilities, and providing transportation (vehicle provided).

Executive Support

Manage and maintain the executive's calendar, appointments, and daily schedule.
Coordinate meetings, conference calls, and virtual meetings.
Prepare meeting agendas, take notes, and follow up on action items.
Screen and prioritize emails, phone calls, and correspondence.
Arrange domestic and international travel, including flights, hotels, transportation, and itineraries.
Assist with presentations, reports, and business documents.

Administrative Duties

Organize digital and physical files.
Handle confidential documents and sensitive information with the highest level of discretion.
Assist with expense tracking and basic bookkeeping tasks.
Coordinate with vendors, partners, clients, and service providers.
Perform various administrative tasks to support business operations.

Personal Assistance

Manage personal appointments and scheduling.
Coordinate errands and personal tasks.
Assist with event planning and reservations.
Help maintain an organized daily routine.
Anticipate needs and proactively solve problems before they arise.

Transportation

Drive the executive safely to meetings, events, airports, and other destinations (a main part of the job) - Vehicle will be provided.
Maintain flexibility to accommodate changing schedules.
Ensure the vehicle remains clean, fueled, and ready for travel.

Qualifications

3+ years of experience as an Executive Assistant, Personal Assistant, or similar role.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
High level of professionalism and confidentiality.
Ability to multitask and prioritize effectively.
Strong problem-solving and decision-making skills.
Proficiency with Microsoft Office, Google Workspace, Zoom, and calendar management tools.
Valid driver's license with a clean driving record.
Ability to work independently with minimal supervision.
Flexible schedule, including occasional evenings or weekends as needed.

Compensation

Work Schedule
