Full Job Description

The Accounting Manager oversees the day-to-day accounting and financial operations of a not-for-profit community mental health agency. This position is responsible for maintaining accurate financial records, supporting timely financial reporting, strengthening internal controls, coordinating audits and regulatory reporting, and supervising accounting staff. The Accounting Manager works collaboratively with leadership, Human Resources, Revenue Cycle, and program directors to support sound financial management and operational efficiency.

Responsibilities

Accounting and Financial Management

Manage the organization’s day-to-day accounting operations and ensure financial transactions are recorded accurately and timely.
Oversee the general ledger and chart of accounts.
Review and approve journal entries and maintain appropriate supporting documentation.
Lead month-end and year-end closing processes.
Maintain reconciliations of balance sheet accounts, investment accounts, and credit card accounts.
Monitor cash flow, daily cash balances, cash receipts, disbursements, and cash reporting.
Maintain fixed asset records and depreciation schedules.
Ensure compliance with Generally Accepted Accounting Principles (GAAP) and applicable nonprofit accounting standards.

Financial Reporting and Budget Support

Prepare accurate and timely monthly financial statements.
Prepare departmental and program-level financial reports.
Analyze budget-to-actual variances, identify trends, and recommend corrective action.
Prepare financial reports for executive leadership and the Board Finance Committee.
Assist with the annual operating budget and budget amendments.
Assist department managers with budget development, spending oversight, and purchasing activity.
Recommend cost-saving initiatives and process improvements.

Accounts Payable and Vendor Administration

Supervise accounts payable processing and review vendor invoices for accuracy, proper coding, and required approvals.
Ensure timely payment of vendors and review check runs, ACH payments, and check preparation.
Maintain vendor files and monitor vendor contracts.
Manage annual Form 1099 reporting.
Ensure proper segregation of duties and adherence to approval workflows.

Audit, Compliance, and Regulatory Reporting

Coordinate the annual financial audit and prepare audit schedules and supporting documentation.
Respond to auditor requests and assist with Uniform Guidance or Single Audit requirements, as applicable.
Coordinate preparation of Form 990 and Form 5500 filings.
Prepare required state, county, and federal financial reports.
Assist with Medicaid cost reports and monitor regulatory changes affecting nonprofit accounting.
Maintain accounting policies and procedures and ensure internal controls are consistently followed.
Prepare financial documentation for state licensing reviews and CARF accreditation.

Internal Controls, Risk Management, and Systems

Develop and improve accounting procedures, approval workflows, and financial policies.
Strengthen internal controls, segregation of duties, and fraud-prevention measures.
Review wire transfers and support positive pay and other banking fraud-prevention tools.
Maintain accounting software and coordinate with Information Technology regarding financial systems.
Support accounting system upgrades, workflow automation, and process redesign.
Help reduce single-person dependency through documentation, cross-training, and standardized procedures.

Leadership and Collaboration

Supervise, train, and cross-train accounting staff.
Establish workflow priorities, monitor productivity, develop staff competencies, and conduct performance evaluations.
Work closely with Human Resources, Revenue Cycle/Billing, program directors, executive leadership, and outside finance partners.
Present financial information clearly to leadership and participate in strategic and operational planning.
Support leadership in evaluating program performance, improving operational efficiency, and making informed financial decisions.

Qualifications

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required.
Minimum of five years of progressive accounting experience, including supervisory or management experience.
Experience in nonprofit accounting, fund accounting, healthcare, behavioral health, or a similarly regulated environment strongly preferred.
Strong knowledge of GAAP, internal controls, financial reporting, budgeting, and audit preparation.
Experience with government reporting, Medicaid cost reports, Form 990, Form 5500, or Single Audit requirements preferred.
Advanced proficiency in Microsoft Excel and experience with accounting or enterprise resource planning systems.
Strong analytical, organizational, communication, and leadership skills.
Ability to manage multiple priorities and deadlines with accuracy, discretion, and attention to detail.
