Office Manager / Marketing Coordinator – Home Care Agency

Position Title: Office Manager / Marketing Coordinator
Reports To: Administrator / Director of Operations / Owner

Position Summary

We are seeking a highly organized and motivated Office Manager with marketing experience to oversee daily administrative operations and support business growth initiatives for our home care agency. The ideal candidate will be responsible for office management, staff coordination, client intake support, community outreach, referral development, and marketing activities that increase brand awareness and drive client referrals.

This role requires strong communication skills, healthcare industry knowledge, relationship-building abilities, and the capacity to manage multiple priorities in a fast-paced environment.

Key Responsibilities Office Management

Oversee daily office operations and administrative functions.
Ensure efficient workflow and support for caregivers, office staff, and management.
Maintain client and employee records in compliance with agency policies and regulatory requirements.
Manage office supplies, equipment, and vendor relationships.
Answer incoming calls and address client, family, and employee inquiries professionally.
Assist with scheduling and coordination of caregiver assignments as needed.
Support onboarding and orientation of new employees.

Marketing & Business Development

Develop and implement marketing strategies to increase referrals and client admissions.
Build and maintain relationships with hospitals, rehabilitation centers, physicians, case managers, social workers, assisted living facilities, and community organizations.
Conduct community outreach activities and networking events.
Represent the agency at health fairs, senior events, and community programs.
Track referral sources and analyze marketing performance.
Assist in developing annual marketing plans and growth initiatives.

Digital Marketing

Manage social media platforms and online presence.
Create and distribute marketing materials, newsletters, and promotional content.
Coordinate website updates and online advertising campaigns.
Monitor online reviews and reputation management efforts.
Assist with email marketing and community engagement campaigns.

Client Intake & Customer Service

Support the intake process for prospective clients.
Conduct initial client inquiries and follow-up communications.
Coordinate service start dates with clinical and scheduling teams.
Ensure excellent customer service for clients and referral partners.
Maintain accurate referral and client records.

Compliance & Reporting

Maintain confidentiality of client and employee information.
Ensure compliance with agency policies and state regulations.
Prepare reports related to referrals, marketing activities, and office operations.
Monitor key performance indicators related to census growth and referral development.

QualificationsRequired

Associate's or Bachelor's degree in Business Administration, Marketing, Healthcare Administration, or related field.
Minimum 3 years of Home Care management experience.
Minimum 2 years of marketing, sales, or business development experience.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Must be bilingual Spanish

Preferred

Experience in home care, healthcare, hospice, assisted living, or senior services.
Knowledge of Medicaid, Medicare, MLTC, or private-pay home care services.
Experience with HHA Exchange systems, social media management, and marketing platforms a plus.
Existing relationships within the healthcare community.
