Job Summary

We are seeking an energetic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient workplace environment. This role involves managing administrative functions, coordinating communication, and supporting team productivity. The ideal candidate will bring strong technical proficiency, exceptional organizational skills, and a proactive attitude to foster a welcoming and well-run office space. Duties

Manage all aspects of office administration, including filing, data entry, and maintaining organized records.
Oversee front desk operations, greeting visitors and handling multi-line phone systems with professionalism and courtesy.
Coordinate calendar management, scheduling meetings, appointments, and events.
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook).
Handle customer service inquiries via phone or email, providing clear communication and timely support.
Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record keeping.
Facilitate internal communication among teams and ensure adherence to office policies and procedures.
Provide personal assistant support as needed, including travel arrangements or special project coordination.

Experience

Proven experience in office management or administrative roles with a strong background in clerical tasks.
Demonstrated proficiency with Microsoft Office Suite (Word processing, spreadsheets) and productivity tools.
Experience operating multi-line phone systems and managing front desk responsibilities.
Familiarity with QuickBooks or similar accounting software for financial data entry and reporting.
Bilingual abilities are a plus to support diverse client communication needs (not necessary though).
Strong organizational skills with excellent time management capabilities to prioritize tasks effectively.
Previous customer service experience emphasizing phone etiquette and professional client interactions.
Technical proficiency in computer literacy, including data entry accuracy and proofreading skills.
Personal assistant or calendar management experience is advantageous for supporting executive schedules.
