ABOUT PROGRAM:
The Arts & Literacy Youth Development Program is an innovative and comprehensive afterschool and summer program addressing Brooklyn and Queens youth’s needs, ages 5 – 14, in the areas of education, creative arts, youth leadership, and health. Program activities build leadership and literacy in the widest sense of the word through creative writing, the visual arts, drama, photography, video, music, yoga, creative movement/dance, and apprenticeships for high school students. The program engages the children’s entire family through monthly family literacy workshops, parent organizing, and comprehensive services available through the agency’s other programs.
POSITION SUMMARY:
The Program Assistant plays a key administrative and operational role supporting CHFS’s community center / Arts and Literacy Youth Development programs. This position ensures smooth daily operations by managing attendance systems, assisting with data entry and compliance, supporting staff communication, and helping coordinate logistics such as student sign-in/out and school pickup of participants. As the front-line representative of CHFS at program sites, the Program Assistant greets families, assists students, and supports a safe, organized, and welcoming environment for all participants. The ideal candidate is detail-oriented, personable, organized, and committed to youth and family development in diverse communities.
RESPONSIBILITIES:
Administrative & Front Desk Support
- Serve as the first point of contact for families, youth, and visitors.
- Manage attendance and sign-in/out processes; maintain accurate records.
- Enter program and participant data into agency systems (e.g., DYCD Connect).
- Prepare and distribute flyers, memos, and other communications.
- Answer phones, respond to inquiries, and relay messages to Program Directors, and Assistant Program Director.
- Support site scheduling and maintain organized filing systems.
Program Operations & Logistics
- Assist with program setup, cleanup, and daily transitions (as applicable).
- Coordinate safe student pickups from nearby schools (as applicable).
- Help distribute snacks, meals, and materials during programming (as applicable).
- Support planning and execution of family nights, community events, and showcases.
- Submit supply requests and maintain inventory of office and program materials.
- Support between program sites when needed.
Communication & Collaboration
- Communicate regularly with Program Directors, and Assistant Program Director.
- Support onboarding processes (e.g., new hire paperwork, background clearances).
- Attend all staff meetings, supervision sessions, and professional development as required.
- Assist with recruitment, enrollment, and outreach to families and partners.
- Maintain a positive and professional demeanor that reflects CHFS’s mission and values.
- Respond to emails in a timely manner (within 24 hours).

Program Support
- Assist with classroom instruction and enrichment activities as needed under the direction of site director.
- Perform additional duties as assigned.
MINIMUM REQUIREMENTS
- High school diploma or GED required; some college coursework preferred.
- At least one year of experience in an administrative, clerical, or youth program setting.
- Strong computer and data entry skills (Microsoft Word, Excel, and email proficiency).
- Excellent organization, multitasking, and communication skills.
- Reliable, punctual, and comfortable working in a busy environment with children and families.
- Ability to conduct short-distance student pickups and transport materials between sites.
- Flexibility to occasionally work evenings/weekends.
Preferred but not required
- Bilingual Spanish is preferred
- Knowledge of NYC community resources and youth programs.
- Experience working with diverse, multicultural communities.
