Front Desk and Treatment Coordinator Bilingual English/Spanish

Overview

Join the team at GDENT Studio, a completely new, modern dental practice in Coral Springs focused on delivering exceptional, patient-centered dental care in a welcoming and professional environment.

We are seeking an organized, compassionate, and results-oriented Front Desk and Treatment Coordinator who is fluent in both English and Spanish. This individual will serve as one of the first points of contact for our patients and will play a central role in creating an excellent experience from the initial phone call through treatment completion.

The ideal candidate combines outstanding customer service with strong administrative, scheduling, insurance, and treatment-presentation skills. This position requires someone who can communicate treatment recommendations clearly, help patients understand their financial options, maintain an efficient schedule, and support the growth of a new dental practice.

Responsibilities

Patient Experience and Front Desk

Welcome patients warmly and create a professional, friendly, and reassuring first impression.
Answer incoming calls, respond to patient inquiries, and communicate professionally in both English and Spanish.
Schedule, confirm, reschedule, and manage appointments while maintaining an efficient and productive clinical schedule.
Manage patient check-in and check-out processes accurately and efficiently.
Register new patients, update demographic and insurance information, and ensure all required forms are completed.
Respond to emails, text messages, online appointment requests, and other patient communications promptly.
Maintain a clean, organized, and welcoming reception area.
Protect patient confidentiality and comply with HIPAA and office privacy policies at all times.

Treatment Coordination

Review treatment plans with patients in a clear, compassionate, and understandable manner.
Explain recommended dental procedures, estimated insurance benefits, patient responsibilities, and available payment options.
Present treatment confidently without using high-pressure sales techniques.
Answer patient questions and address concerns that may prevent patients from moving forward with treatment.
Schedule treatment appropriately based on clinical priorities, patient availability, and office production goals.
Follow up with patients who have unscheduled or incomplete treatment.
Maintain accurate records of treatment-plan presentations, patient decisions, financial arrangements, and follow-up communications.
Work closely with the dentist and clinical team to ensure that patients receive consistent and accurate information.
Help patients understand the value and importance of completing recommended care.

Insurance and Financial Coordination

Verify dental insurance eligibility, benefits, limitations, deductibles, frequencies, and waiting periods before appointments.
Provide patients with accurate estimates while clearly explaining that insurance benefits are not a guarantee of payment.
Collect co-payments, deductibles, deposits, and outstanding balances at the appropriate time.
Create and document payment arrangements in accordance with office policies.
Submit dental insurance claims accurately and follow up on unpaid, delayed, or denied claims.
Assist with insurance pre-authorizations, attachments, narratives, and requests for additional documentation.
Review explanation-of-benefits statements and correct claim discrepancies when necessary.
Maintain accurate patient ledgers and financial records.
Communicate professionally with insurance companies regarding benefits and claim status.
Support the practice in maintaining healthy collections and minimizing outstanding accounts receivable.

Administrative Support

Maintain accurate patient records using dental practice-management software.
Document patient communications, financial arrangements, insurance information, and scheduling details thoroughly.
Scan, upload, and organize patient documents and correspondence.
Monitor the daily schedule for openings, scheduling conflicts, overdue patients, and opportunities to improve productivity.
Coordinate with the clinical team regarding emergencies, late arrivals, cancellations, and changes to the schedule.
Help maintain patient recall and reactivation systems.
Track new-patient inquiries and assist in converting inquiries into scheduled appointments.
Support office marketing, patient-retention, and referral initiatives when needed.
Perform general administrative duties such as filing, scanning, data entry, supply monitoring, and correspondence.
Assist with establishing and improving front-office systems as the new practice grows.
Perform additional administrative duties as needed to support the successful operation of the practice.

Qualifications

Fluency in both English and Spanish is required.
Previous experience in a dental front-office, scheduling, insurance, or treatment-coordinator role is strongly preferred.
Experience presenting dental treatment plans and discussing financial arrangements is highly desirable.
Familiarity with dental terminology, procedures, insurance benefits, and billing processes.
Experience using dental practice-management software; familiarity with Open Dental is preferred.
Understanding of HIPAA regulations and patient-confidentiality requirements.
Strong verbal and written communication skills.
Professional and confident telephone etiquette.
Excellent organizational, time-management, and multitasking abilities.
Ability to manage sensitive financial conversations with professionalism and empathy.
Strong attention to detail when managing schedules, insurance information, payments, and patient records.
Comfortable collecting payments and discussing outstanding balances.
Ability to remain calm, solution-oriented, and professional in a busy environment.
Proficiency with computers, email, digital forms, Microsoft Office, and general office technology.
Dependable, punctual, adaptable, and willing to contribute to a growing practice.
Friendly and compassionate demeanor with a genuine interest in helping patients receive the care they need.
Team-oriented attitude and willingness to assist beyond assigned responsibilities when necessary.

Preferred Experience

Dental insurance verification and claims processing.
Treatment-plan presentation and case acceptance.
Patient financing and payment-plan coordination.
Dental scheduling and production management.
Accounts receivable and insurance follow-up.
Patient recall and reactivation.
Experience with general, cosmetic, restorative, and orthodontic dental services.
Experience helping establish front-office systems in a new or growing dental practice.
