Full Job Description

Overview
We are seeking a detail-oriented and organized Service Writer - Expeditor to join our team. The ideal candidate will have excellent communication skills and a strong ability to manage multiple tasks efficiently.

REQUISTIES

- Good working knowledge of Residential Maintenance. (Construction or Remodeling experience very helpful, but not necessary)

- Above-Average organizing and cognitive skills

- Likes diverse work, challenges, and detail

- Not easily intimidated

- Person must be Resourceful and Focused on helping solve the issues at hand

- Above-Average computer skills in Excel, Word, charts, scanning, and computer filing, etc.

- Able to help organize and prepare Work Schedules and Projects

- Must be able to earn respect of Field Service Personnel and yet oversee & control their Work Orders, Time Summaries, general Shop Paperwork, and its flow, and receive and record their Daily Work-Progress and other information voice reporting.

DUTIES - Production:

- Issue appropriate paperwork needed to initiate various types of services as requested by tenants, (i.e., Seasonal Projects (SP), Special Jobs, inspections (SJ), TMO’s, TMI’s, TCI’s, etc.)

- Process Daily Time Summary Sheets and Payroll Reports for Field service staff, Mechanical, Decorating, Landscaping/Grounds, and Housekeeping Services.

- Track Work Progress of work assigned to Field staff and compile information needed to schedule weekly work for Mechanical, Decorating, Grounds and required subcontractor work, (i.e., cleaning, tile, carpet, etc.)

Directly responsible for:

- Issuing Work Orders, (i.e., Routine, Urgent or Emergency, TMO/TMI Inspections, Seasonal Project, Special Job, etc.) for Service Requests from residents, commercial tenants, Residential Quality Control or Management.

- Determine if requested service includes Charges to be Billed to Tenant directly, (i.e., Tenant Damages, CAM, etc.)

- Compilation of various Work Orders, Inspection Orders, TMO work orders, etc. on Work Order Boards by category, Work Orders to be issued, Work Orders completed, etc.

- Ensure that all paperwork is processed to and from the Field via the Inter-Company/Shop Mail system.

- Using Work Order information posted to Work Order Boards, compile information necessary to make Weekly Work Schedule for Field staff, residential Quality Control and Subcontractors. Check SP Work Calendar for Seasonal Projects to be included on the Weekly Work Schedule.

- Record information received from the Field relative to any upgrades to be recorded, (i.e., new appliances, carpeting, sink tops, air conditioners, garbage disposers, hot water tanks, furnaces, etc.) and any Warranty Cards received with new appliances.

- Match completed Work Orders with Daily Time Summary Sheets to verify labor time and forward to Accounts Payable.

- Maintain a Purchase Orders file for materials needed in the Field. Shipping Receivers are to be forwarded to Purchasing and Accounts Payable for processing of invoices. Prepare and Schedule Inspection Orders to be issued for approval of work performed by subcontractors.

- Maintain a Contracts file

DUTIES – Records & Filing:

- Maintaining and upkeep of Work Progress boards, charts, inventory records, etc.

- Filing pertinent information in files, including but not limited to by Property, Building, Suite, Store or Office, Seasonal Projects, Special Jobs, etc.

Directly responsible for:

- Check Answering Machine each morning for important After-Hours Emergency Answering Service messages

- Answer telephones and take Service Requests from tenants for maintenance services and repairs.

- Type all SP Work Orders as needed each week for compilation of Work Schedules and forwarding to appropriate shop for each property.

- Sort Work Orders by type, property (residential or commercial) and any other pertinent information, (i.e., SP#, and place appropriate copies on Control Boards to monitor progress). Originals sent to Field.

- Log pertinent information on Work Progress Charts.

- Pull completed Work Order Copies from Work Order Control Boards when received from the Field, sort, and file in appropriate file.

- Post all types of completed work to Suite Cards, (i.e., decorating items such as carpet, plastering, painting), new appliances, tile, etc., to Suite Cards. Appliances logged on Feature Card.

- File Warranty Cards for new appliances, (i.e., garbage disposals, refrigerators, stoves, air conditioners, furnaces, hot water tanks, etc.) in Warranty Card File.

- - If necessary, provide requested information for inclusion in Weekly Work Schedule.

- - If necessary, provide requested information to close out SJ or TMO files.
