Full Job Description

Statewide Equipment is looking for a full-charge bookkeeper to own the books end to end.

This is not a data-entry job and it is not a role where someone else catches your mistakes. You will be the only person in this seat. If a reconciliation is off, if a vendor doesn't get paid, if payroll is wrong — that lands on you, and you will be the one who finds it and fixes it.

We sell, rent, and service heavy equipment. The books have to reflect what actually happened on the yard: units bought and sold, floor plan interest, work orders, rental contracts, parts inventory. Accuracy matters here in a way it doesn't at a business with less inventory on the ground.

You report directly to the General Manager.

What you'll own

Accounts payable — Enter and code vendor bills, match to POs and receiving, manage payment timing against cash position, keep vendor statements reconciled. Nothing gets paid twice and nothing goes past due without a decision behind it.

Accounts receivable — Invoice customers accurately and on time, apply payments, manage collections, and keep aging current. Outbound collection calls on past-due accounts are an essential function of this role.

Payroll — Run payroll on schedule, handle timecards, PTO tracking, garnishments, and payroll tax filings. Zero tolerance for late or incorrect payroll.

HR administration — Onboarding paperwork, I-9 and W-4 processing, personnel file maintenance, benefits enrollment and changes, and workers' comp reporting. You will handle confidential employee information and you will keep it confidential.

Reconciliations — Bank accounts, credit cards, floor plan lines, and clearing accounts, reconciled every month without being asked. Unreconciled items get researched and resolved, not carried forward.

Inventory and unit accounting — Track equipment cost by unit from purchase through sale: acquisition cost, freight, PDI, reconditioning, and floor plan interest. Reconcile unit-level gross profit against the deal file so reported margin matches reality.

Month-end close — Close the books on a defined calendar. Accruals, prepaids, depreciation, and adjusting entries prepared and supported. Deliver a clean P&L and balance sheet to the General Manager and ownership.

Reporting — Produce monthly financial statements, cash flow visibility, and the ad hoc analysis ownership asks for. Flag variances before they get asked about.

Compliance and filings — Sales and use tax, 1099s, business licensing, and coordination with our outside CPA at year end.

What we expect

The books are current. Not "mostly current" — current.
Month-end closes on the calendar, every month.
You find your own errors before anyone else does.
Bad news travels fast. If cash is tight or a number looks wrong, ownership hears it from you immediately, not at month end.
Confidentiality is absolute. Payroll, margins, and financials do not leave your desk.

What you need

Required

3+ years of full-charge bookkeeping experience with ownership of a full month-end close
Quickbooks online aptitude is a must
Proficiency in accounting software and strong Excel skills (pivot tables, lookups, building your own reports)
Hands-on payroll processing experience, including payroll tax filings
Demonstrated accuracy under deadline pressure and the discipline to self-review
Ability to work independently with limited supervision and manage your own priorities and deadlines
Successful completion of a background check, given the financial responsibilities of this position

Preferred

Dealership, equipment, automotive, or heavy-equipment industry experience
Familiarity with dealership management systems (we run Blackpurl) and CRM (we run Copper)
Inventory or unit-level cost accounting experience
Floor plan financing experience
Associate's degree or higher in accounting, or equivalent hands-on experience

Essential functions

Regular on-site presence at the Parowan location. Producing and reviewing detailed financial records. Communicating with vendors, customers, and employees by phone, email, and in person, including outbound collection calls.

Schedule

Monday–Friday, full-time, on site in Parowan, Utah. This role touches deal paperwork, deposits, and the physical yard — it is not a remote position and we are not going to pretend otherwise.

Pay: $26.57 - $32.00 per hour
