Job Overview

Accounting & Billing Coordinator

R. Technologies is seeking a detail-oriented Accounting & Billing Coordinator to support day-to-day accounting, invoicing, reconciliations, and client billing processes. This position is ideal for someone who is highly organized, comfortable working in QuickBooks Desktop, and able to manage recurring monthly accounting tasks with accuracy and consistency.

Primary Responsibilities

The Accounting & Billing Coordinator will assist with monthly invoicing, client billing, accounts receivable and payable tracking, credit card and bank reconciliations, deposit entries, and recurring transaction management. This role will also help prepare monthly financial statements, track past-due invoices, assist with purchase order billing, and coordinate with leadership for invoice approvals.

Additional responsibilities include maintaining billing checklists, updating recurring transactions, verifying client seat/license counts, reviewing vendor billing, assisting with sales tax liability reports, and working with outside partners such as the CPA and payroll provider when needed.

Key Job Tasks

· Use QuickBooks Desktop to create, edit, and manage invoices

· Process recurring monthly billing and memorized transactions

· Complete monthly bank and credit card reconciliations

· Enter deposits and apply client payments to invoices

· Prepare monthly AR/AP and financial reports

· Review purchase orders and create client invoices when ready to bill

· Track and follow up on past-due invoices

· Verify monthly client billing details, including seats, licenses, and service counts

· Review vendor statements and break down charges appropriately in QuickBooks

· Assist with sales tax liability reporting as needed

· Coordinate with CPA, payroll provider, and leadership on accounting-related questions

· Maintain accurate accounting spreadsheets, checklists, and supporting documentation

Knowledge & Skills

· Experience with QuickBooks Desktop, preferably QuickBooks Desktop Pro

· Strong understanding of invoicing, reconciliations, AR/AP, deposits, and recurring billing

· Excellent attention to detail and accuracy

· Ability to manage monthly deadlines and recurring accounting tasks

· Comfortable working with spreadsheets and organized digital records

· Strong written and verbal communication skills

· Ability to follow established procedures while identifying errors or inconsistencies

· Experience with IT, MSP, software licensing, or service-based billing is a plus

Ideal Candidate

The ideal candidate is dependable, organized, and comfortable handling confidential financial information. They should be able to work independently, keep accounting records accurate and up to date, and communicate clearly when approvals, corrections, or additional information are needed.

Position Type

Part-time may be considered depending on experience and company needs. Position has the ability to grow into different areas of the business.

Pay: $25.00 - $29.00 per hour
