Full Job Description

Job Overview

Healthy Teens, Inc. is seeking a highly organized and detail-oriented Administrative Support Specialist to provide administrative and operational support for our mission-driven nonprofit organization. This position plays a key role in ensuring efficient day-to-day operations by supporting administration, donor and community relations, fundraising activities, communications, program operations, and grant-related documentation. The ideal candidate is proactive, professional, adaptable, and able to manage multiple priorities in a collaborative environment dedicated to empowering youth.

Key Responsibilities

Organizational Administration

● Maintain organizational calendars and schedules

● Monitor correspondence, including email inboxes and mail, and route inquiries appropriately.

● Manage office and programmatic supplies, order new materials as requested

● Assist with financials: track invoices, deposits, purchasing, and staff timesheets

● Support fundraising efforts including:

○ Maintain a calendar of all fundraising deadlines

○ Maintain the donor management system and ensure accurate data entry

○ Prepare and send thank you notes and donation receipts to donors and partners

○ Assist with sponsorship and donor outreach to individuals and businesses.

○ Provide on-site assistance for fundraising events

● Assist with additional administrative or project-based tasks as requested

Finance & Bookkeeping Responsibilities

Assist Executive Director and Funding, Grants, and Finance Coordinator with:
Maintaining accurate financial records and bookkeeping systems
Processing invoices, reimbursements, and payments
Tracking expenses, deposits, and financial transactions
Reconciling bank and credit card statements
Assisting with budget tracking and financial reporting
Supporting grant tracking, cost allocation and documentation
Managing donor/payment records and reporting systems

Qualifications

Required

● Passion for working with young people (ages 10–21) from diverse backgrounds.

● High school diploma or equivalent required.

● Highly organized and able to effectively manage multiple priorities.

● Excellent communication skills, both verbal and written.

● Team player with the ability to work independently.

● Detail-oriented with a clear understanding of organizational goals.

● Proficiency with Microsoft Office, Google Workspace, databases, and general office technology; experience with donor management systems preferred.

● Willingness to work flexible hours.

● Must pass a Level 2 background check.

● Must have own transportation.

Preferred

● Experience with office management.

● Being bilingual (Spanish or Creole) is a plus.

● Cultural competency and ability to work in diverse settings.

Physical Requirements

● Ability to lift up to 20 lbs.

● Able to read documents and screens, hear clearly, and communicate in English.

Working Conditions

● Primarily in-office in Bradenton, FL

● Some local travel may be needed (Manatee and Sarasota Counties)

● Some evenings and weekends are occasionally required.
