The Organization: Al Otro Lado is a binational legal services and immigrant rights organization serving immigrants, asylum seekers, and deported persons in Southern California, Tijuana, México, and beyond. We provide client-centered, multidisciplinary legal representation, engage in human rights monitoring and impact litigation, and work to protect individual rights while addressing systemic barriers within immigration and border enforcement systems. Our work is grounded in principles of dignity, access to justice, and harm reduction, and we collaborate closely with community-based organizations, academic institutions, and public interest partners. Position Summary: The Operations Coordinator oversees day-to-day office operations while ensuring strong administrative, financial, and reporting systems across Al Otro Lado’s Los Angeles office. This role plays a key part in maintaining compliance with grant requirements by tracking reporting workflows, reconciling expenses, monitoring staff time allocations, and supporting staff in meeting deadlines. This position requires strong judgment, discretion, attention to detail, and the ability to manage multiple priorities while handling sensitive financial and operational information.

Location: Los Angeles (on-site)

Schedule: Full-time, exempt, salaried position

Compensation: 65,000 to 70,000, depending on experience

Reports to: US-Based Advocacy Management

Key Responsibilities: Office Operations & Administrative Systems

Oversee daily office operations, including facilities, supplies, vendor coordination, and workspace needs
Retrieve mail from organizational PO boxes and coordinate internal distribution with administrative staff
Serve as a point of contact for day-to-day operational needs and troubleshooting
Support onboarding logistics and operational setup for Los Angeles-based staff
Maintain organized records in alignment with internal procedures and compliance standards

Grant Reporting & Compliance

Track and monitor reporting deadlines across multiple state-funded and grant-funded contracts in collaboration with the Grants Manager
Follow up with staff to ensure timely submission of required reports, supporting documentation, and data
Review, organize, and maintain documentation to support complete and accurate grant reporting
Maintain systems that support audit readiness and compliance with funder and internal requirements
Assist in tracking staff time allocations and related reporting for grant compliance purposes

Finance & Budget Coordination

Reconcile expenses across organizational credit cards and allocate costs appropriately across grants and budgets
Support financial tracking by coding expenses to the correct funding sources in coordination with finance staff
Maintain accurate spreadsheets and internal tracking tools related to budgets, expenses, and operational metrics
Handle sensitive financial documentation with professionalism and discretion

Program & Administrative Support

Maintain spreadsheets and systems for tracking client cases, deadlines, and key operational data
Coordinate with program staff to support smooth office workflows and administrative processes

Systems Improvement

Collaborate with the Operations Team to improve workflows, tracking systems, and administrative processes
Identify opportunities to strengthen efficiency, accountability, and cross-team coordination

Qualifications

3–5 years of experience in operations, administration, office management, or related roles
Strong organizational skills with exceptional attention to detail and follow-through
Experience tracking deadlines, documentation, or reporting requirements across multiple projects or funding sources
Experience reconciling expenses, budget tracking, or financial administrative support
Ability to manage confidential and sensitive information with discretion
Strong communication skills and ability to coordinate effectively across teams
Proficiency with Asana, QuickBooks, Excel, Google Workspace, or similar tools
Experience with legal case management systems such as E-Immigration or Legal Server strongly preferred
Ability to work independently, prioritize effectively, and solve problems proactively
Experience in nonprofit, legal services, or mission-driven environments preferred
Bilingual English/Spanish strongly preferred

Compensation and Benefits: This is a full-time, exempt position with a starting salary of $65,000–$70,000, depending on experience. Al Otro Lado is piloting a 36-hour work week, with a half-day (4 hours) on Fridays. Payroll adjustments are made to ensure that all staff receive the same wages as in a 40-hour work week. Al Otro Lado’s comprehensive benefits package includes:
