Full Job Description

Job Summary
We are seeking a motivated and detail-oriented Collections Intern to support the Collections Specialist and Accounts Receivable team in monitoring customer accounts, maintaining accurate records, assisting with collection efforts, and providing light billing support. This internship provides valuable hands-on experience in construction accounting, customer communications, collections processes, billing administration, and accounts receivable management.

The Collections Intern will work under the direct supervision of the Construction Collection Specialist and will assist with administrative, billing, and collection-related activities while developing an understanding of invoicing procedures, payment collection practices, lien processes, and customer account management within the construction industry.

Responsibilities

Assist the Construction Collection Specialist with monitoring customer accounts and identifying outstanding balances.
Prepare and distribute account statements to designated customers.
Maintain collection logs, account notes, and customer correspondence records.
Research payment histories and assist in gathering supporting documentation for overdue accounts.
Contact customers regarding payment status through email and other approved communication methods.
Assist with follow-up communications on past due accounts.
Support communication efforts between collections, account managers, and project coordinators.
Help organize and maintain accounts receivable files and supporting documentation.
Assist with processing customer payments and account updates.
Support the resolution of billing inquiries by gathering information and documentation.
Assist with preparing and distributing customer invoices and billing packages.
Review billing documentation for completeness and accuracy prior to invoice submission.
Assist with tracking invoice status and supporting billing-related follow-up activities.
Update account status records within company databases and accounting systems.
Prepare reports and spreadsheets related to collection activities and accounts receivable aging.
Assist with mechanics lien documentation and tracking processes as directed.
Ensure all collection and billing activities are documented accurately and timely.
Perform general administrative duties in support of the Accounting and Collections departments.
Adhere to company policies, procedures, and professional standards when interacting with customers.

Requirements

Currently pursuing or recently completed an Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Strong attention to detail and organizational skills.
Basic understanding of accounting principles is preferred.
Proficiency with Microsoft Office, including Excel, Word, and Outlook.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive financial information.
Ability to learn quickly and work in a fast-paced environment.
Strong problem-solving and critical-thinking skills.
Positive attitude and willingness to learn.
Ability to work independently while receiving guidance from supervisors.
Prior office, accounting, or administrative experience is a plus but not required.
