Production & Inventory Manager (Jewelry)

Location: Pasadena, CA (Hybrid) with occasional travel as needed

About the Role

We are seeking a highly organized, analytical, and detail oriented Production & Inventory Manager to lead production coordination, inventory planning, and operational execution across the business. This role is ideal for someone who thrives on problem-solving, enjoys ownership, communicates clearly, and knows how to balance strategic thinking with operational excellence. You will serve as the central hub for all things production, working closely with Design, Sales, Marketing, Operations, and Product Development while managing relationships with overseas manufacturing partners. You will have the opportunity to build and lead a critical function within the company, work directly with the Founder, and help create the operational foundation needed to support the next stage of growth. This is a hands on, high impact role where precision, accountability, leadership, and follow-through are essential.

Key Responsibilities

Inventory Management & Forecasting

Maintain accurate inventory levels across finished goods, raw materials, packaging, displays, and operational supplies.
Monitor inventory performance and proactively identify reorder requirements, shortages, and excess stock.
Develop inventory forecasts based on sales trends, seasonality, product launches, and growth objectives.
Ensure material availability to support production schedules and fulfillment needs.
Reconcile inventory discrepancies and improve inventory accuracy and control processes.
Partner with Sales, Marketing, and Product Development to anticipate demand and align inventory strategies.
Develop reporting and visibility tools to support inventory planning and decision-making.

Production Coordination

Manage production schedules and timelines with overseas artisan partners, factories, and suppliers.
Coordinate product launches, material planning, purchase orders, and delivery schedules to ensure on-time execution.
Forecast material requirements across all production categories and proactively address supply constraints.
Track production progress, identify risks or bottlenecks, and implement corrective actions when needed.
Communicate production priorities, timelines, and status updates across internal and external stakeholders.
Develop production plans that align with sales goals, inventory targets, and launch calendars.

Vendor Management & Quality Control

Manage relationships with suppliers, manufacturing partners, and material vendors to ensure quality, reliability, and performance.
Oversee quality control processes and ensure products meet company standards for craftsmanship, consistency, and finish.
Hold vendors accountable to quality expectations, delivery commitments, and communication standards.
Source, evaluate, and onboard new suppliers while maintaining backup resources to support business continuity.
Negotiate pricing, lead times, and commercial terms to improve operational efficiency and profitability.
Resolve production and quality issues quickly while driving continuous improvement across the vendor network.

Costing & Margin Management

Review product costing, pricing, and margin performance across materials, styles, and manufacturing partners.
Identify cost-saving opportunities and support margin improvement initiatives without compromising product quality.
Partner with leadership to support profitable growth through data-driven costing and pricing decisions.
Track and report key production, inventory, and profitability metrics.

Systems & Operational Excellence

Maintain accurate product, inventory, and costing data within ERP and inventory management systems (AIMS, WFX, Shopify, and related platforms).
Ensure BOMs, SKUs, product specifications, and related records remain current and accurate.
Develop reporting tools, dashboards, and operational processes that improve visibility, accountability, and scalability.
Serve as the primary coordinator for production-related communication across departments.
Establish best practices and continuously improve workflows, systems, and operational efficiency to support long-term growth.

Leadership has visibility into inventory, production, and business performance through accurate reporting and communication

Qualifications

· 5+ years of experience in production, inventory management, supply chain, operations, or related fields

· Experience in jewelry

· Experience working with overseas factories, artisan workshops, or manufacturing partners

· Strong forecasting and inventory planning experience

· Demonstrated experience sourcing and developing new vendor and supplier relationships

· Proven ability to manage multiple projects, timelines, and priorities simultaneously

· Strong analytical skills and confidence working with costing, margins, and financial data

· Exceptional communication skills with the ability to collaborate across departments and manage external partners

· Highly organized with outstanding attention to detail

· Advanced proficiency in Excel and Google Sheets

· Experience with ERP, inventory management, or production planning systems required

· Self-starter who thrives in a fast-paced, entrepreneurial environment

· Comfortable balancing strategic planning with day-to-day execution

· Ability to lead, influence, and create accountability without unnecessary bureaucracy
