Administrative / Events Assistant

Job description

Annandale Golf Club in Pasadena is in search of a fulltime Administrative Events Coordinator. This person will be responsible for providing organizational and operational support to the Events Department. A background in events or hotel administration is preferred but not required.

Qualifications: This role requires someone who picks up new procedures and information with ease, and demonstrates strong interpersonal, verbal and written communication skills. Key qualifications as follows:

· Handles calls and messages from members and the public with professionalism, discretion, and grace.

· Acts as office receptionist, greeting and directing guests and/or relaying messages.

· Manages communication with clients and members via email and zoom.

· Possesses strong knowledge of Microsoft Office programs (Word, Excel, Outlook, Publisher, etc) and a willingness to become a pro at the catering (Club Essential), floor planning (Cvent), and Canva software programs.

· Manages the Event Consultants schedule, sets up meetings, and handles follow up as directed.

· Coordinates and prioritizes the department’s needs on a daily basis while juggling multiple assignments.

· Works well under pressure in a fast-paced environment.

· Able to maintain an “unruffled” demeanor while demonstrating a positive team player attitude.

· Possesses excellent people skills.

· Some evening, weekends or holidays may be required.

Accountabilities: The role requires a professional to “connect the dots” to keep our busy Events Department running smoothly. You will be responsible for:

· Maintaining accurate and up‐to‐date records and files for all event projects.

· Managing the administrative details (RFP’s, invoices, contracts, COIs, deliveries, etc) for vendors and suppliers.

· Tracking and maintaining event requests, rentals, document deadlines and files.

· Maintains current records in Events databases for clients, vendors, and members.

· Assist with event set up and supporting the execution of event timelines as directed.

· Manages proposal and contract tracking.

· Develops event-specific organizational tools such as production timelines, contact lists, on-site deliverables schedules.

· Provides research support and completes tasks required for event execution.

Creates basic signage, flyers, place cards, seating charts and other printed pieces.

Job Type: Full-time

Pay: $21.00 - $23.00 per hour
