In addition to general practice services, we offer Urgent Care/General Care Appointments Sunday-Wednesday and accommodate walk-in appointments throughout the week.
Job description: As an Office Manager, you are responsible for tasks assigned to you by the Doctor and the Operations Manager, in addition to ensuring clinic compliance (California Board, California Health - Radiology, OSHA), employee management (training, scheduling, hiring, disciplinary action, firing), and other general clinic management tasks. This role is critical to all clinic operations, patient care, client satisfaction, relied upon for decision making and patient flow. The Clinic Manager has to know how to perform all the roles of the clinic.
Below are some of the categories of duties an ideal candidate would master:
- Responsible for leading the clinic staff for training (daily tasks morning, afternoon, evening; working with Operations Manager to improve and perfect workflow and position related tasks, personally training
- not designating to lunch-and-learn by companies), managing staff schedule (reducing overtime, ensure proper mealtime breaks, early send offs when clinic is slow) building employee moral, create best-practice SOP and maintaining position related work-binders, and building an enjoyable working environment
- Drives clinic initiatives (Marketing - Promo Calls, Flyers ; Utilizing Office Manager for Assistance ; New policies (best practice, OSHA, Reducing overhead, Improving Billing Capture)
- Collaborates with the Doctor on new ideas, purchasing, and general ideas to improve the clinic
- Sets goals for hospital performance based on previous performance and mission/vision (Appointments every 20 minutes)
- Requires improving DA efficiency and Clinic flow utilizing the check-in/whiteboard, Consistent Dentals, Average Transaction Value)
- Designs strategies for meeting clinic goals (Improving Bundles, Training DAs from care plan presentations)
- Assures clinic flow by following up on cases, identifying bottlenecks and stepping in (especially rooming clients and direct DA work)
- Assists the Doctor with quotes for services (especially large surgeries or extended care hospitalization), making sure our prices are accurate to market and time spent on patient care
- Creates training SOPs and Implement them (DA training for pharmacy allowing for more fluid medication fills; CSR training for Client engagement for all clients in the lobby, etc. ; CSR training for relevant EMR components - e.g. ensure correct estimate charge-out).
- Maintains the practice philosophy for attracting new clients and retaining existing clients (privately owned clinic willing to work financially with clients who are willing to work with us - thereby providing services which they would otherwise be unable to access).
- Facilitates resolution of client problems when the doctor or staff members cannot finalize- Resolves financial problems with clients, collecting delinquent accounts and determine when special financial agreements are appropriate. (CareCredit, Scratch Pay, etc)
- Maintains the facility ensuring staff appropriately cleaning and sorting all parts of the clinic, and ensuring visual appeal to clients and staff- Works with Human Resource Manager and the Doctor on hiring, promoting/evaluating, disciplinary action, and firing
- Resolves disputes between staff members
- Co-creates new company policies and enforce existing ones (proper lunch period, no cell phone use during work time, appropriate dress codes, appropriate language, slow-periods task completion)
Qualifications:
- Must have a desire to help people with their loved fur family
- Minimum 3 years of veterinary clinic experience
- Minimum 1 year of leadership experience
- Ability to use and learn clinic software (Shepherd)
- Very disciplined and well organized, ability to stay on task for long periods of time and with many small distractions
- Timely and punctual
- Always aware of where in the day the clinic is at and making sure things are moving forward
- High school diploma or G.E.D required, associates and college degree preferred
- Additional soft skills: negotiation, high emotional intelligence, and patience

Schedule:
4 days week (Sunday to Wednesday) and some Thursdays for administrative duties.
Work Location: In person, CM office in treatment are to ensure regular engagement with staff (separate office available for necessary meetings).

Pay: $70,000.00 - $80,000.00 per year
