This is NOT your typical medical receptionist position.
You aren't just sitting behind a desk, in fact you are in your own priviate office.

YOUR ROLE: MAKE PEOPLE FEEL TAKEN CARE OF
As our New Patient Coordinator, you help turn a nervous new patient into someone who says:
“I am so glad I came here.”
You are the friendly voice on the phone.
You are the smiling face when they arrive.
You help patients understand what happens next.
You make sure their paperwork and insurance information are ready.
You help keep their care moving forward.
You notice when someone looks confused.
You remember names.
You solve problems.
You communicate.
You follow through.
And you help create the kind of patient experience people remember and tell their friends and family about.
WHAT YOU'LL DO
You will:
- Welcome every patient with genuine warmth and enthusiasm
- Provide exceptional customer service to patients and families
- Guide new patients through their first experience with our clinic
- Check patients in and out efficiently
- Keep patients informed about appointment flow and wait times
- Verify insurance eligibility and visit limits using our automated systems
- Make sure charts, paperwork, and patient information are accurate before appointments
- Schedule evaluations, follow-up visits, and ongoing treatment
- Answer incoming calls with professionalism and positivity
- Make outbound calls to confirm appointments and reconnect with patients
- Help patients reschedule missed visits and stay consistent with their plan of care
- Coordinate with the clinical team to help accommodate same-day care whenever possible
- Assist the clinical team with approved physical therapy modalities, such as heat, ice, e-stim, or similar modalities, as directed and permitted
- Help prepare treatment areas and ensure equipment and modalities are ready
- Maintain a clean, organized, welcoming front desk, waiting room, and shared treatment spaces
- Complete daily reports and make sure patient records are finalized before the end of the day
- Participate in team huddles, training, and clinic activities
- Look for opportunities to make someone's day just a little better

MINIMUM QUALIFICATIONS
- High School Diploma or equivalent
- Minimum 3 years of healthcare office experience
- Insuracne skills
- Scheduling and insurance verification experience preferred
- Excellent organizational skills
- Strong written and verbal communication
- Comfortable with computers and technology
- Dependable with a stable employment history
- Flexible, adaptable, and comfortable with change
- Able to work the full schedule listed below
FULL-TIME SCHEDULE
Monday: 8:00 AM – 6:00 PM
Tuesday: 8:20 AM – 5:30 PM
Wednesday: 7:00 / 8:00 AM – 5:00 PM
Thursday: 8:20 AM – 5:30 PM
Friday: 7:00 / 8:00 AM – 4:00 PM
Saturday: 8:00 AM – 1:00 PM (approximately 1–2 Saturdays per month)
Employees should arrive approximately 15 minutes before their scheduled start time, except onTuesdays and Thursdays.
There are only approximately four 7:00 AM starts per month, occurring on Wednesdays and Fridays for the month.
