Full Job Description

Job Overview

We are looking for a motivated and organized Administrative Assistant/Coordinator to join our team in the traffic control industry. This is a great opportunity for someone who enjoys staying organized, working with a team, and playing an important role in keeping day-to-day operations running smoothly. In this position, you will support our office and field teams by coordinating schedules, communicating with customers and employees, organizing documents, and assisting with daily administrative tasks. You’ll work in a fast-paced environment where no two days are exactly alike and where your attention to detail and ability to stay organized will make a real impact. This position offers an opportunity to learn the traffic control industry, develop valuable administrative and coordination skills, and grow with a supportive team.

Office Administration

Answer and direct incoming phone calls
Monitor and respond to company email accounts
Manage the company calendar and coordinate meetings and events
Calendar and plan customer appreciation events, career fairs, Annual Safety Day
Process administrative employee Time Off Requests (TORs)
Perform office errands, including mail pickup and delivery, post office visits, and transportation of documents between Atascadero office locations
Coordinate office supply inventory and place supply orders as needed
Assist with office equipment maintenance, including phones, copiers, and other office technology in coordination with our IT team and outside vendors
Communicate with vendors for office related needs i.e., window cleaning, pest control, embroidery or screen-printing services etc.
Prepare documents requiring management signatures and coordinate distribution once completed
Prepare credit applications and other administrative documentation
Proof weekly timecards for payroll
Review and approve invoices for outside vendors
Review, scan, file company policies
Send out all mass company communication using company provided platform
Create goodie bags for customers, donations or company events

Meeting & Communication Coordination

Coordinate weekly office meetings by scheduling calendar invitations and collecting agenda items
Record and distribute meeting minutes to attendees
Prepare and distribute weekly company communications
Administrative employee time-off notifications
Employee birthday and work anniversary notifications
Assist with company social media

Human Resources Administration Assistance

Employee onboarding
Maintain DMV pull program account – adding and deleting drivers, checking pull notices
Maintain DocuSign account – create, send, update forms
Order, post, maintain labor law posters

Fleet & Equipment Administration Assistance

Coordinate vehicle insurance additions, removals, and annual insurance renewals
Coordinate fuel card issuance, replacement, and account maintenance
Coordinate with IT to label and track company electronic equipment and office assets
Maintain OneStep GPS tracking account
Creation of vehicle files

Compliance & Vendor Coordination

Communicate regularly with IT company, check portal for open tickets and coordinate with them for new employees and termination requests
Maintain ISNetworld compliance documentation
Track business license renewal deadlines
Coordinate company apparel embroidery and vendor services
Assist with Certificate of Insurance (COI) tracking and documentation
Assist with fraud monitoring for company fuel card activity

Additional Responsibilities

Collect and distribute company mail and postage as needed
Maintain organized filing systems, both electronic and physical
Assist with special projects and perform other administrative duties as assigned to support business operations

Required Qualifications

High school diploma or equivalent
1–2 years of administrative or office experience
Strong organizational and time-management skills
Excellent written and verbal communication
Proficiency with Microsoft Office and Google Workspace
Ability to manage multiple tasks and prioritize deadlines
Strong attention to detail and accuracy
Professional and friendly interpersonal skills
Ability to handle confidential information appropriately
Previous experience in a similar industry (construction)
Ability to work independently and proactively
Experience with managing calendars and meeting coordination
Strong computer skills with the ability to quickly learn and navigate new software and systems

Preferred Qualifications

Associate’s degree or additional administrative training
Experience with bookkeeping, invoicing, or basic financial tasks

This position is not remote and requires 40 hours of onsite work per week.

Monday - Thursday 8am-5pm

Friday 8am - 4pm

Pay: From $26.00 per hour
