Full Job Description

Accounting + Administrative Coordinator (Part-Time)

Join a respected planning and land use consulting firm serving California's Central Coast.

Oasis Associates, Inc. is a well-established land use planning and regulatory consulting firm based in San Luis Obispo. For more than four decades, we have assisted public agencies, businesses, developers, institutions, and property owners in navigating California's complex planning, permitting, and entitlement processes.

We are seeking a detail-oriented, organized, and proactive professional to become an integral member of our small team. This position plays a vital role in the day-to-day operations of the firm by supporting project accounting, client invoicing, office administration, and general business operations.

Position Summary

This is a part-time, in-office position (approximately 20 hours per week) with a flexible work schedule. Because we are a small professional practice, every team member contributes to the firm's success. Rather than working from a rigid daily routine, this position requires someone who can prioritize responsibilities, anticipate needs, and manage multiple tasks while maintaining exceptional attention to detail.

The Accounting & Administrative Coordinator reports directly to the Principal Planner and works closely with our project team and part-time bookkeeper.

Primary Responsibilities

Accounting & Project Billing

Prepare monthly client invoices utilizing project accounting software.
Process accounts receivable and accounts payable.
Coordinate billing information with project managers and the firm's bookkeeper.
Monitor project budgets and assist with financial tracking and reporting.
Maintain accurate project accounting records and supporting documentation.
Assist in identifying work performed outside the original scope of services.

Project Administration

Prepare and assemble Professional Services Agreements, proposals, contracts, and project documentation.
Establish new project files and maintain organized digital records.
Coordinate consultant agreements, insurance certificates, and supporting documentation.
Assist staff with project tracking and administrative support throughout the life of a project.

Client & Office Support

Serve as the first point of contact for clients, consultants, and visitors.
Answer and direct telephone calls with professionalism and courtesy.
Prepare correspondence, transmittals, and other business communications.
Schedule meetings and assist with conference room preparation.
Support day-to-day communication between clients, consultants, and project staff.

Office Operations

Assist in maintaining an organized and efficient office environment.
Coordinate office supplies, mail, shipping, scanning, filing, and document management.
Recommend and implement administrative improvements that enhance office efficiency.
Provide general administrative support to the Principal and project team as needed.

Qualifications

Required

Three or more years of experience in accounting, bookkeeping, administrative support, office management, or a related professional office environment.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
High degree of professionalism, discretion, and confidentiality.
Exceptional attention to detail and accuracy.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Experience with QuickBooks or similar accounting software.
Strong computer aptitude and the ability to learn new software applications quickly.

Preferred

Experience with project-based accounting or professional services firms.
Familiarity with BillQuick (BQE) or similar project accounting software.
Experience working in consulting, planning, engineering, architecture, legal, or related professional service environments.
