Office Manager Duties & Responsibilities
- Reports to and works closely with the owner/CEO.
- Oversees general office operations and gives reports to management
- Ability to handle heavy workloads, establish and meet deadlines, and work effectively and accurately with frequent interruptions and shifting priorities
- Excellent math and bookkeeping skills to successfully manage accounts payable and receivable and to identify and resolve problems working with a bookkeeper
- Manages filing systems and office supplies
- Ability to analyze financial data, work with the accounting team to prepare financial reports and projections and make financial recommendations for budget planning and decision making for departments
- Working knowledge of purchasing, financial, and personnel policies and procedures
- Oversees staff interactions and responds to their queries on company issues
- Monitors office management and designs innovative work systems
- Updates company policies and onboards new hires
- Sorts mail and answers direct phone calls
- Tracks domestic and overseas product orders
- Executes payroll and monitors timekeeping system
- Manages remote workers
- Performs HR duties (utilizing support from HR Services for Small Business by Quickbooks): discipline (with appropriate manager), assistance with benefits, PTO requests, etc.
- Ensures all legal and regulatory documents are filed and monitor compliance with laws and regulations
- Maintains employee personnel and medical files (digital and physical)
- Coordinates with store managers to provide supplies, products, and support
- Ability to compose clear written correspondence to a wide range of individuals to address issues, propose solutions, solicit input
- Ensure company-wide compliance with policies and procedures within the Employee Handbook and Operations Manual, as well as continually updating these key documents
Required Qualifications
- A college degree in a related field (AA, BA, BS) or equivalent combination of experience and education that provides the necessary knowledge, skills, and abilities to perform the essential functions of this position.
- 3+ years of work experience as an administrative or office manager
