ABOUT LIVE OUT LOUD

For 25 years, Live Out Loud has empowered LGBTQAI+ youth to become leaders and advocates through education, mentorship, and leadership development. We partner with schools to provide programs that explore LGBTQ+ history, current issues, and the importance of equity, inclusion, and belonging. Our workshops help students build confidence, strengthen their voices, and develop the skills to advocate for themselves and others.

ROLE OVERVIEW

The Senior Manager of Programs works closely with the Executive Director to provide strategic leadership and oversight of all Live Out Loud programming administration and operations. This role supervises the full programming team, manages relationships with school and community partners, and ensures every program is delivered with quality, consistency, and fidelity to the organization's mission. This position requires creativity, leadership, and a deep commitment to fostering LGBTQ+ inclusion and empowerment.

TEAM LEADERSHIP & MANAGEMENT

· Provides strategic leadership, supervision, and ongoing professional development to the Full-Time Program Manager, Part-Time Program Facilitator, Part-Time Homecoming Project Coordinator, and Social Work Interns.

· Ensures all direct reports stay accountable and fully aligned with organizational goals.

· Leads the entire lifecycle of the programming team's talent management, including hiring, onboarding, and structured performance check-ins.

· Holds regular 1:1s with each direct report to surface needs, track progress, and provide consistent feedback.

· Leads weekly programming team meetings — sets agenda, tracks action items, and drives follow-through.

· Invests in the professional growth of direct reports by identifying development opportunities and coaching toward stronger performance.

· Steps in during absences or high-demand periods for the TSP Program.

· Collaborates with the Executive Director on program strategy, budgeting, staffing, and organizational growth initiatives.

· Conducts structured sessions with the Executive Director to identify, address and resolve surface program pulse, risks, capacity issues, and priorities.

· Participates in routine check-ins with the organization's Grant Writer to deliver metrics, attendance logs, and field data required to fulfill DOE and DYCD grant compliance and end-of-year reporting deliverables.

· Provides oral, written reports and data to the Executive Director, Board of Directors, Funders, etc., when requested/as required.

ADMINISTRATION & PROCESS

· Manages team meetings, project timelines, and cross-program coordination.

· Oversees day-to-day operational workflows and process improvements.

· Filters operational issues before they reach the Executive Director.

· Owns and maintains the organization's internal operational infrastructure including project management tools, shared filing systems, and communication norms.

· Builds and documents repeatable processes for program concept, delivery, evaluation and replication.

· Has independent decision-making authority for operational matters; escalates budget and partnership decisions to the Executive Director.

· Prepares a regular digest of field stories, photos, and program outcomes for the ED and social media consultant to use in donor, funder, and social media communications.

· Oversees annual program calendar.

· Ensures DOE and DYCD-funded programming meet documentation and consistent participation requirements.

· Tracks impact of all programs to report to the Grant Writer for DOE, DYCD, Foundations, Board of Directors, Donors, and Sponsors.

· Oversees program documentation and reporting processes, ensuring attendance sheets, program reports, evaluations, and partnership records are completed accurately and submitted on time.

· Ensures all program data is consistently entered, maintained, and updated in all agency-authorized databases.

· Trains and supports program staff on documentation standards, data collection procedures, and reporting requirements.

· Monitors data quality and compliance; generates reports and metrics to support program evaluation, grant reporting, and organizational impact measurement.

PROGRAM & CURRICULUM DEVELOPMENT

· Leads curriculum development for the PD workshop series delivered to NYC school partners and affiliates.

· Designs, implements, and leads professional development programs for educators, principals, teachers, and parents — developing the training curricula, workshops, and resources necessary to equip adults with actionable strategies to support LGBTQIA+ youth.

· Oversees the programming team's development of the School Program Curriculum for each school year, ensuring all educational content aligns with the organization's vision and mission while fulfilling the required DOE scope of work.

· Coordinates workshop scheduling across school partners, accounting for DOE, DYCD, and related funding requirements and consistent participation expectations.

· Facilitates Professional Development sessions independently and coordinates with the Executive Director in developing for 1–2 high-visibility program moments per year.

“BEHIND THE SCENES PROGRAM” COORDINATION

· Collaborates with the Executive Director to deliver a minimum of two annual Behind the Scenes events between Live Out Loud and corporate partners.

· Leads outreach to schools and partners with LGBTQ+ ERGs to plan, prepare, and manage event-day logistics.

· Develops participant event decks and surveys; manages registration; tracks attendance.

· Distributes and collects necessary release forms; compiles post-event reports.

· Maintains strong, continuous communication with school, corporate, and community partners.

QUALITY ASSURANCE & PROGRAM OVERSIGHT (CQA/CQI)

· Conducts program observations across all programs.

· Provides structured feedback to Program Managers and Facilitators after observations.

· Conducts check-ins on program fidelity and participant experience.

· Ensures consistency across boroughs and programs.

· Identifies gaps or areas for improvement and builds solutions.

· Tracks program outcomes and uses data to inform continuous improvement and reporting.

REQUIREMENTS

· 5+ years of experience in program management, nonprofit operations, or a related field.

· Demonstrated ability to supervise and develop a team.

· Experience managing government-funded programs (DOE, DYCD, or similar) and the associated compliance requirements.

· Adept knowledge of program design creation, implementation and evaluation.

· Strong organizational skills with the ability to manage multiple programs and priorities simultaneously.

· Proficiency in Airtable or similar project management and data tracking tools.

· Deep commitment to LGBTQ+ equity, inclusion, and youth empowerment.

· Excellent written and verbal communication skills.

· Bachelor's degree required; advanced degree in education, nonprofit management, or related field preferred. Preferred Masters in education.
