Job Title: Office Administrator

Employment Type: Full-Time (Hourly, 40 hours/week)

Overview:

A South haven family owned excavating contractor is seeking a reliable and detail-oriented Office Administrator to help manage day-to-day office operations and support both administrative and accounting functions. This role is ideal for someone who is personable, highly organized, and thrives in a fast-paced, blue-collar business environment. You will serve as the first point of contact for customers, support job costing and billing processes, and maintain accurate records in QuickBooks and Microsoft Office. This position is 100% onsite.

Responsibilities:

Answer phone calls and greet customers in a professional manner
Maintain office cleanliness and organization, including vacuuming, dusting, and general tidying
Manage job board schedules and assist with document filing and general office upkeep
Collect and input job-related cost data from field crews
Process accounts payable and ensure timely payments using QuickBooks
Generate monthly Profit & Loss and Work-In-Progress reports
Assist with bi-weekly payroll processing and benefits tracking (401k, PTO, prevailing wages)
Monitor and follow up on accounts receivable and collections
Prepare monthly reporting logs and documentation for MDOT prequalification
Reconcile accounts and support financial reporting for individual jobs and the company

Preferred Skills & Qualifications:

Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Experience with Google Drive, Docs, and file sharing
Strong written and verbal communication skills
Independent writing and composition abilities
Excellent organization and multitasking skillS
Proficient in QuickBooks
Experience with job costing and time/material billing
Familiar with payroll processing and benefits tracking
Knowledge of Davis-Bacon prevailing wage compliance
Comfortable preparing P&L and reconciliation reports

Education Requirements:

High School Diploma or GED (required)
Associate’s or Bachelor’s Degree (preferred

Experience Requirements:

Minimum 2 years of office administration experience
At least 5 years of accounting experience
QuickBooks experience (equivalent to at least 2 semesters of college coursework

Other Requirements:

Valid driver’s license and reliable transportation
Willingness to support general cleaning and upkeep of the office

Compensation & Benefits:

Hourly wage (commensurate with experience)
Paid Time Off (negotiated)
401(k) Safe Harbor matching after 90 days
Group Health Insurance Plan available after 90 days
