Full Job Description

TITLE: ADMINISTRATIVE ASSISTANT (SUPERINTENDENT/GOVERNING BOARD) THIS JOB DESRIPTION IS

DEPARTMENT: Superintendent’s Office CURRENTLY UNDER REVIEW

AND WILL INCLUDE UPDATED

QUALIFICATIONS: RESPONSIBILITIES SHORTLY

Possess a high school diploma or equivalent.
Possess or have the ability to obtain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card within forty-five (45) days of employment.
Possess a valid Arizona Driver’s License.
Completion of office management related business courses and five years experience.
Minimum two years in an educational setting is preferred.
Any combination of training and experience that could likely provide the required knowledge, skills and abilities.

JOB GOALS:

The Executive/Board Assistant provides support in a manner which allows the Superintendent to devote maximum attention to the central responsibilities of student education and the administration of school district related duties.

PERFORMANCE RESPONSIBILITIES:

The following tasks are essential for this position. This list is not inclusive of all responsibilities. Individuals may not perform all of these tasks, or may perform similar related tasks not listed.

Complies with all HIPAA and FERPA related confidentiality requirements.
Develops positive relations with students, parents, school staff and the public.
Arranges appointments, meetings, and handles incoming phone calls for the Superintendent and serves as communication liaison between the Superintendent, Board members, and district personnel.
Develops and distributes legally required communication/notification and agendas for all official Governing Board meetings and hearings; Arranges necessary meeting venues.
Attends Governing Board meetings and Leadership team meetings; prepares minutes
Coordinates distribution of Board policies
Arranges or assists with district wide events.
Performs other related duties as assigned.

MINIMUM KNOWLEDGE, SKILL AND ABILITY:

Knowledge of:

District policies, operations and organization.
Interpersonal skills including tact, courtesy, and diplomacy.
Communication (telephone, email, etc.) etiquette.
Office procedures, practices, equipment and related software.
Extensive knowledge of “Open Meeting Law” requirements and procedures.

Skill and Ability to:

Work cooperatively with others.
Establish work priorities to meet schedules and timelines.
Maintain files, records and reports.
Experience using office related tools and software such as Google, and Microsoft Office.
Process administrative details using independent judgment.
Maintain a calendar of appointments.
Type at approximately 50 WPM.

Physical Requirements and Working Conditions:

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Requires vision (which may be corrected) to read small print.
Requires the mobility to stand, stoop, reach and bend. Requires mobility of arms to reach and dexterity of hands to grasp and manipulate small objects.
Performs lifting, pushing and/or pulling of objects which does not exceed 50 pounds and is an infrequent aspect of the job.
Is subject to inside environmental conditions.
May be required to work at a video display terminal for prolonged periods.

REPORTS TO: Superintendent

EVALUATION: Performance of this job will be evaluated annually by the Superintendent in accordance with the provisions of Governing Board policy in evaluation of classified personnel.

TERMS OF

EMPLOYMENT: 12 Months

SALARY: Salary for the position is set according to the Classified Salary Schedule determined by the Governing Board.
