Job Summary

We are seeking a dynamic and highly organized Administrative Support Specialist to join our team! Duties

Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
Operate multi-line phone systems efficiently, answering inquiries promptly and routing calls accurately
Handle calendar management tasks, scheduling appointments, meetings, and coordinating events seamlessly
Perform data entry with precision into various systems such as QuickBooks and Microsoft Office applications
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and confidential information
Provide exceptional customer service by supporting client communication via phone, email, or in person
Assist with basic bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
Support office management activities such as supply inventory monitoring and coordinating maintenance requests

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy across various platforms
Experience using QuickBooks for bookkeeping or financial management is highly desirable, experience with an ERP system is a plus
Excellent phone etiquette with the ability to handle multi-line phone systems confidently
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Strong data entry skills with high accuracy and attention to detail
Ability to handle confidential information discreetly and professionally
Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
Previous experience in customer support or personal assistant roles is advantageous
