Full Job Description

Position Summary

We are seeking an experienced, hands-on Property Manager to oversee a portfolio of suburban office buildings in the Atlanta metropolitan area. The Property Manager will be responsible for daily property operations, tenant relationships, financial performance, vendor management, building maintenance, and capital projects.

The successful candidate will combine strong customer service with financial discipline and practical building-operations experience. This position requires regular travel among properties and occasional availability for after-hours emergencies.

Key Responsibilities

Property Operations

Oversee the daily operation, maintenance, appearance, safety, and security of assigned properties.
Conduct regular property inspections and promptly address maintenance, life-safety, landscaping, janitorial, parking, signage, and common-area issues.
Coordinate preventive maintenance and repairs for HVAC, electrical, plumbing, roofing, elevators, access-control, and other building systems.
Respond to building emergencies and coordinate contractors, tenants, ownership, and insurance representatives as appropriate.
Maintain current property records, service agreements, inspection reports, warranties, certificates, and emergency procedures.

Tenant Relations

Serve as the primary point of contact for tenants and build positive, professional relationships.
Respond promptly to tenant requests, concerns, and service issues.
Coordinate tenant move-ins, move-outs, access, signage, construction, and lease-related requirements.
Conduct periodic tenant meetings and satisfaction checks.
Support tenant-retention efforts and communicate potential renewals, expansions, contractions, or other leasing opportunities.

Financial Management

Prepare annual operating budgets and periodic forecasts for each property.
Review monthly financial statements, explain budget variances, and recommend corrective action.
Monitor operating expenses, accounts receivable, collections, and property cash flow.
Review and approve invoices, confirm proper coding, and ensure work has been completed satisfactorily.
Assist with operating-expense reconciliations, tenant billings, rent adjustments, and other lease-related charges.
Identify opportunities to reduce expenses and improve property performance without compromising service or asset quality.

Vendor and Contract Management

Solicit competitive bids, negotiate service agreements, and recommend qualified vendors.
Supervise contractors and evaluate performance, responsiveness, cost, insurance compliance, and quality of work.
Ensure vendor certificates of insurance and other required documentation remain current.
Monitor contract expiration dates and rebid services when appropriate.

Lease Administration and Compliance

Maintain working knowledge of tenant leases, including operating-expense provisions, maintenance obligations, insurance requirements, and rules and regulations.
Coordinate with leasing, accounting, legal, engineering, and asset-management teams.
Monitor compliance with applicable building codes, life-safety requirements, lender requirements, and company policies.
Assist with property acquisitions, dispositions, due diligence, and ownership reporting when needed.

Capital Projects

Help develop annual and long-term capital plans.
Coordinate tenant improvements and property capital projects from bidding through completion.
Track project schedules, budgets, change orders, documentation, and closeout.
Keep ownership informed of project progress, risks, and anticipated costs.

Qualifications

Bachelor’s degree in business, real estate, finance, facilities management, or a related field preferred.
At least three years of commercial property-management experience; direct office-building experience strongly preferred.
Experience managing multiple properties or traveling between suburban locations preferred.
Working knowledge of commercial leases, operating budgets, expense reconciliations, vendor contracts, and building systems.
Strong financial, analytical, organizational, and problem-solving abilities.
Excellent written and verbal communication skills.
Proficiency with Microsoft Excel, Outlook, and property-management or accounting software such as Yardi, MRI, Angus, Building Engines, or a comparable platform.
Ability to manage competing priorities independently while maintaining attention to detail.
Valid driver’s license, reliable transportation, and the ability to travel regularly among assigned properties.
Ability to respond to occasional after-hours building emergencies.

Preferred Credentials

Experience supervising engineers, maintenance personnel, or administrative staff.
Experience with Class A or Class B suburban office properties.

Success in this role will be evaluated based on:

Tenant satisfaction and retention.
Property appearance, safety, and operational reliability.
Budget performance and accuracy of financial reporting.
Timely collection of receivables.
Vendor quality, responsiveness, and cost control.
Completion of capital projects on schedule and within budget.
Compliance with leases, contracts, insurance requirements, and company procedures.

Compensation and Benefits

We offer a competitive compensation package, anticipated to include:

Base salary of $80,000–$95,000, depending on experience and portfolio responsibilities.
