Finance & Grants Manager

Newburgh Armory Unity Center (NAUC)
Location: 321 South William Street, Newburgh, NY 12550
Position: Full-Time, Exempt
Reports To: Executive Director / Chief Executive Officer
Salary: Starting at $85,000 annually, commensurate with experience

About the Newburgh Armory Unity Center

The Newburgh Armory Unity Center (NAUC) is one of the Hudson Valley's premier nonprofit community centers, serving thousands of children, families, and residents annually through educational, recreational, workforce development, and community engagement programs.

We are seeking an experienced, mission-driven Finance & Grants Manager to join our executive leadership team. This individual will oversee the organization's financial operations while ensuring the successful administration of government and private grants that support our growing programs.

Position Summary

The Finance & Grants Manager provides strategic leadership for all financial operations, grant compliance, budgeting, accounting, reporting, and fiscal oversight of the organization. Working closely with the Executive Director, Board of Directors, program leadership, and external funding agencies, this position ensures the financial health and long-term sustainability of the organization while supporting high-quality community programming.

This position plays a critical leadership role in organizational planning, financial stewardship, operational excellence, and grant management.

Essential Responsibilities

Financial Leadership

Lead all financial operations of the organization.
Develop and manage annual operating and program budgets.
Monitor organizational financial performance and cash flow.
Prepare monthly, quarterly, and annual financial reports.
Present financial information to executive leadership and the Board of Directors.
Provide financial forecasting and strategic recommendations.
Coordinate annual audits and Form 990 preparation with external CPA firms.
Ensure compliance with Generally Accepted Accounting Principles (GAAP) and nonprofit accounting standards.

Accounting & Internal Controls

Oversee all accounting functions including:

General Ledger management
Accounts Payable
Accounts Receivable
Bank reconciliations
Cash management
Credit card reconciliations
Payroll allocations
Financial recordkeeping

Additional responsibilities include:

Maintain accurate financial records in QuickBooks.
Review and approve invoices.
Ensure proper coding of revenues and expenses.
Monitor internal controls and financial policies.
Maintain vendor files and accounting documentation and EZ Facility.
Oversee banking relationships and cash deposits.

Grant Administration & Compliance

Manage the complete financial lifecycle of federal, state, county, municipal, and foundation grants by:

Developing grant budgets.
Monitoring grant expenditures.
Preparing reimbursement requests and vouchers.
Maintaining supporting documentation.
Ensuring compliance with all funding requirements.
Tracking grant deadlines and reporting requirements.
Coordinating grant audits and monitoring visits.
Serving as the primary fiscal liaison with funding agencies.

Program & Organizational Support

Partner with leadership to ensure programs operate efficiently and within approved budgets by:

Supporting program managers with financial reporting.
Monitoring program expenditures.
Assisting with organizational strategic planning.
Supporting fundraising initiatives through financial reporting.
Tracking restricted funding and donor activity.
Participating in executive leadership meetings.
Assisting with special projects and organizational initiatives.

Leadership

Supervise finance staff and consultants as assigned.
Develop and improve organizational financial policies.
Strengthen internal controls and operational efficiency.
Build strong relationships with funders, auditors, government agencies, community partners, and Board members.
Foster a collaborative, mission-driven workplace culture.

Qualifications

Required

Bachelor's degree in Accounting, Finance, Business Administration, Public Administration, Nonprofit Management, or related field.
Five (5) or more years of progressively responsible nonprofit financial management experience.
Experience managing government grants and contracts.
Strong knowledge of:
GAAP
Nonprofit accounting
Budget development
Financial reporting
Internal controls
Proficiency with QuickBooks and Microsoft Office.
Excellent analytical, organizational, and communication skills.
Ability to manage multiple priorities while meeting deadlines.

Preferred

Master's degree.
Experience working with nonprofit Boards of Directors.
Experience supervising staff.
Experience with government reimbursement contracts and grant-funded programs.
