Full Job Description

DUTIES AND RESPONSIBILITIES:

The Archivist will manage, preserve, and make accessible our valuable collection of transportation artifacts, records, and documents. This position will replace the current Archives Manager position.

The specific scope, goals, objectives, and evaluation criteria in relation to the duties and responsibilities of the position during any period will be identified in a work plan to be developed jointly by the Archivist and Executive Director. It is expected that this work plan will be periodically reviewed and updated.

1. Appraisal and Acquisition: Authenticate, appraise, and select new materials for the archive based on their historical, cultural, or institutional significance. The Archivist will be the Museum’s liaison with potential donors of collections and funds to support the archives.

2. Arrangement and Description: Organize and classify archival materials into logical systems (finding aids and catalogs) to facilitate easy retrieval and access.

3. Preservation and Conservation: Implement best practices for the physical preservation and maintenance of diverse materials, including paper records, photographs, audio/visual recordings, and electronic data. Implement recommendations in the Collections Assessment for Preservation report dated December 2023.

4. Digital Management: Create and manage systems for electronic records, including digitization projects, metadata creation, and long-term digital preservation strategies.

5. Reference Services and Access: Administer guidelines for public access and provide research assistance to internal and external patrons and scholars. Work with Manager of Visitor Services on Museum exhibits/exhibitions.

6. Outreach and Education: Plan and coordinate educational and public outreach programs, such as tours, workshops, lectures, and exhibits, to promote the archives' use and understanding. The Archivist will work with volunteers and organize work sessions as well as submit articles about our collection for our biannual magazine, Trolley Fare.

7. Policy and Administration: Develop and implement policies and procedures for the collection, storage, and retrieval of materials, and manage budgets and supervise staff as required.

8. Perform other duties that are consistent with the position. As part of this duty and responsibility, it is important to recognize that the Museum’s management team is a small group and it will be necessary, from time to time, to provide support and assistance to other members of the team during the performance of their duties and responsibilities.

POSITION CHARACTERISTICS:

This is a full-time exempt position that may require some weekend and evening hours as directed by Museum management or as necessary to perform the duties and responsibilities of the position. The position also requires some standing, walking, climbing, and lifting.

POSITION QUALIFICATIONS:

· A master’s degree in Archival Science, Library Science, or equivalent experience delivering archival projects from planning to completion. Experience working in archives or records management environment for 3 or more years required.

· Proficiency with archival management software, databases, and digital preservation technologies is essential.

· Excellent time management skills and the ability to prioritize work.

· Strong organizational skills with the ability to multi-task.

· Exceptional written and verbal communication skills.

· Ability to work both independently and collaboratively in a team environment.

· Knowledge of relevant laws and ethical considerations, including copyright and privacy laws.

· Knowledge of transit/transportation history preferred but not required.

REQUIREMENTS TO BE HIRED AND TO MAINTAIN THE POSITION:

Obtain and maintain the appropriate background check clearances as defined in
the Museum’s policy for Volunteer and Employee Background Checks.

Pay: $50,000.00 - $60,000.00 per year
