Full Job Description

General Contractor and Real Estate Development company in the Scottsdale area is seeking a motivated Contract Coordinator to support the Project Managers on active infrastructure construction and land development projects. This role focuses on contract administration, document management, project administration, and project record management — keeping Project Managers organized so they can lead projects and manage clients. The position is a great opportunity for someone who wants to learn and grow in construction management, contract administration, and real estate development.

Position Summary

The Contract Coordinator is responsible for managing the administrative and contractual processes associated with both Owner and Subcontractor agreements throughout the life of a construction project. This position serves as a key liaison between Project Management, Accounting, subcontractors, vendors, and owners to ensure contracts, change orders, compliance documentation, and project records are accurate, complete, properly executed, and processed in a timely manner.

The ideal candidate is highly organized, detail-oriented, comfortable working with numbers and documentation, and able to manage multiple projects and deadlines simultaneously. This position requires strong communication skills and the ability to identify discrepancies, follow up on outstanding items, and keep projects moving administratively.

Essential Responsibilities

Coordinate, prepare, review, distribute and track Owner Contracts, Subcontracts and Change Orders
Review all required documentation for completeness, scope, pricing, retainage, insurance requirements, bonds and other contractual requirements verifying all discrepancies are resolved before submittal to Clients or Vendors.
Coordinate smooth execution of contracts and change orders, ensuring all required exhibits, approvals, supporting documentation and signatures are obtained.
Track and proactively follow up on outstanding items
Ensure corresponding Subcontractor change orders are issued and executed when applicable.
Track contract values, commitments, approved changes, pending changes, and remaining balances throughout the project.
Assist Project Managers with project setup and ongoing administrative requirements.
Assist with preparation of project reports and management summaries.
Coordinate documentation required for project closeout, including final change orders, warranties, and other closeout materials.
Serve as a central point of contact for contract and change order administration.
Communicate professionally with owners, subcontractors, vendors, Project Managers, and Accounting personnel.
Maintain confidentiality of sensitive contractual, financial, and project information.
Assist with special projects and process improvement initiatives.
Develop and maintain standardized contract and change order templates and procedures.
Help identify opportunities to improve contract administration, documentation, and workflow.
Assist Project Managers with reports, tracking spreadsheets, and other administrative needs.
Perform other duties as assigned in support of project and company operations.

Qualifications

2–5 years of experience in construction administration, contract administration, project coordination, or a related field preferred.
General understanding of commercial construction processes and terminology.
Strong organizational and time-management skills.
Excellent attention to detail and ability to identify discrepancies.
Strong written and verbal communication skills.
Ability to manage multiple projects and competing deadlines.
Proficiency with Microsoft Excel, Word, Outlook, and PDF/document management software.
Ability to read and understand construction contracts, subcontract agreements, change orders, and related documentation.
Strong problem-solving skills and ability to work independently while collaborating effectively with a team.

Contracts are executed accurately and on time.
Change orders are properly documented, approved, and incorporated into project records.
Project Managers always know the status of outstanding contractual items.
Accounting has accurate contract, commitment, and change order information.
Required subcontractor compliance documents are current and organized.
Project documentation is complete, accessible, and audit-ready.
Outstanding items are proactively followed up on rather than waiting for someone else to identify them.
