Full Job Description

General Description:

We’re seeking an experienced Program Director to oversee the day-to-day operations of Natalie’s House group home within our organization. The Program Director will play a key role in ensuring programs run smoothly, efficiently, and in alignment with ministry goals. This position involves coordinating resources, managing resident schedules, managing staff, tracking performance, administrative duties, hosting leadership training sessions, and maintaining compliance with relevant DCS and contract policies and procedures, and other duties as assigned.

Job Duties:

· Oversee daily operations of the APECA/Natalie’s House group home, including but not limited to spiritual nurture & guidance, planning & implementation of staff duties & work schedule, monitoring resident progress, coordinate behavioral health services for residents, schedule appointments, oversee documentation, and other duties as assigned

· Promote a loving, Christ-centered atmosphere for the staff and residents so residents can overcome trauma and thrive.

· Manage the budget and staff purchases on company credit cards for home purchases to ensure compliance with company guidelines.

· Oversee DCS licensing re-renewal and inspection and maintain compliance with DCS licensing guidelines

· Serve as a point of contact for program residents, staff, Department of Child safety, Navajo Nation, Yavapai (and other contractors) volunteers, partners, and stakeholders.

· Maintain adequate inventories of all items used for Natalie’s House

· Provide crisis intervention to children in spiritual, mental or emotional distress, as needed.

· Collaborate with Interim CEO to receive children into Natalie’s House program

· Ensure fleet vehicles are up to date on maintenance, registration & safety guidelines

· Maintain the staff schedule to ensure shifts are covered 24/7

· Complete performance reviews of staff at 90 days and 1 year intervals.

· Oversee Caregivers as they coordinate logistics for resident school and activity schedules, food shopping, meal prep, medication administration, workshops, training sessions, & site visits for the children as needed.

· Collaborate with CHIP Compliance Officer with onboarding, training, and supporting program staff, interns, and/or volunteers.

· Maintain accurate and up-to-date records, databases, resident files, and documentation in compliance with organizational, DCS & Contractor standards.

· Assist Interim CEO, Compliance Officer & HR with re-vamping and implementing program policies, procedures, and best practices.

· Ensure compliance with all relevant organizational policies, funding requirements, licensing guidelines, accreditation standards, and legal obligations.

· Act as a liaison between staff, residents, other departments within the City Help Inc organization, and external partners/volunteers, as needed.

· Identify and resolve operational issues proactively to keep the program on track.

· Maintain a healthy family like environment for both staff and residents to thrive.

Qualifications & Requirements

· Bachelor’s degree in Business Administration, Public Administration, Nonprofit Management, Christian Leadership, Social Work, or a related field (Master’s degree preferred but not required).

· 3+ years of experience in program administration, project coordination, operations management, behavioral health, non-profit management or a similar role.

· Proven experience managing expense reports, schedules, and multiple concurrent projects.

· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with program management tools (e.g., Asana, Trello, Salesforce, Google Workspace, or database systems).

· Excellent organizational, time-management, and problem-solving skills with keen attention to detail.

· Outstanding verbal and written communication skills.

· Ability to work independently and collaboratively in a team environment.

· High level of integrity when handling confidential and sensitive information.

Preferred Skills & Attributes

· Prior supervisory or staff coordination experience.

· Passion for the organization’s mission and the populations served.

· Flexibility to occasionally work evenings or weekends for events.

Language Skills: Strong written and verbal communication skills, as well as the understanding and implementation of professional and personal boundaries.

Mathematical Skills: Ability to perform necessary calculations for position tasks and review to ensure errors are corrected.

Reasoning Ability: Ability to identify, address, and resolve issues based on reasonable judgement, information collection, and team member partnerships while adhering to City Help Inc policy and procedures. Sound judgement needs to be demonstrated if crisis situations arise that ensure the safety of staff and residents and adheres to City Help Inc policies.

Physical Demands/Work Environment: Program Administrator may be required to occasionally lift and/or move up to 25pounds and must state on application if there is a weight lift restriction.
