Full Job Description

Office Administrator – Construction

Location: On-site
Schedule: Full-time, Monday–Friday, 8:00 a.m.–5:00 p.m.
Compensation: $25 - 30 per hour

Position Overview

We are seeking an organized, dependable, and proactive Office Administrator to support the daily operations of a growing construction company. This person will serve as a central point of contact for office staff, field teams, subcontractors, vendors, and customers.

The ideal candidate understands the fast-paced nature of construction, communicates professionally, and can manage multiple priorities while maintaining accurate records and keeping projects organized.

Key Responsibilities

Manage incoming calls, emails, visitors, and general office correspondence.
Coordinate communication between project managers, field employees, subcontractors, vendors, and customers.
Maintain project files, contracts, permits, change orders, invoices, certificates of insurance, and other construction-related documents.
Assist with preparing proposals, work orders, purchase orders, and project documentation.
Schedule meetings, inspections, deliveries, service appointments, and project-related activities.
Track vendor and subcontractor documentation, including licenses, insurance certificates, and compliance records.
Process invoices, receipts, expense reports, and employee timesheets.
Support payroll administration by collecting and reviewing timekeeping information.
Order office supplies, safety materials, uniforms, and jobsite supplies as needed.
Maintain organized electronic and physical filing systems.
Assist with employee onboarding, personnel records, and safety documentation.
Follow up on outstanding paperwork, approvals, payments, and project requirements.
Provide administrative support to company leadership and project management teams.
Handle confidential employee, customer, and company information professionally.
Perform additional administrative duties as assigned.

Qualifications

Two or more years of administrative or office support experience preferred.
Previous experience in construction, contracting, property management, facilities, or a related industry strongly preferred.
Working knowledge of construction terminology and project documentation is a plus.
Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
Experience with construction management or accounting software is preferred.
Strong written and verbal communication skills.
Excellent organization, follow-through, and attention to detail.
Ability to manage competing deadlines in a fast-paced environment.
Professional and confident when communicating with customers, vendors, and field employees.
Reliable transportation and the ability to work on-site during scheduled hours.
High school diploma or equivalent required; associate degree or additional administrative training is a plus.

Preferred Experience

Processing purchase orders, invoices, and timesheets.
Coordinating subcontractor or vendor documentation.
Maintaining certificates of insurance and compliance records.
Supporting project managers or construction executives.
Working with Procore, Buildertrend, QuickBooks, Sage, or similar systems.

The successful candidate will be resourceful, responsive, detail-oriented, and comfortable working with both office professionals and field personnel.

Work Environment

This is a full-time, on-site position in a professional construction office. The role may occasionally require interaction with active jobsites, deliveries, construction materials, or field employees.
