Full Job Description

Position Summary

We are seeking a highly organized, hands-on, and people-focused HR Generalist to provide comprehensive human resources support across two distinct companies operating under common ownership. This position will work closely with leadership and managers across both organizations to ensure consistent HR practices, accurate payroll and timekeeping, strong employee relations, compliance with applicable employment laws, and a positive employee experience.

The ideal candidate is a proactive HR professional who is comfortable working in a fast-paced, multi-company environment, managing confidential information, balancing competing priorities, and serving as a trusted resource to both employees and leadership.

This role requires a strong understanding of California employment practices and the ability to independently manage day-to-day HR functions while escalating complex matters appropriately.

Essential Duties and Responsibilities

Payroll & Timekeeping

Coordinate and administer accurate and timely payroll processes for both companies.
Review payroll information for accuracy, including hours worked, overtime, bonuses, commissions, deductions, PTO, sick time, and other applicable earnings.
Monitor and audit employee timekeeping records, ensuring accurate punches, meal and rest periods, missed punches, and timecard approvals.
Partner with managers and employees to resolve payroll and timekeeping discrepancies.
Ensure compliance with California wage and hour requirements related to timekeeping, overtime, meal and rest periods, and payroll practices.
Maintain payroll-related records and support payroll audits and reporting.
Assist with payroll system implementation, updates, and troubleshooting as needed.

Employee Relations & Performance Management

Serve as a primary HR resource for employees and managers regarding workplace concerns, policies, performance issues, and employee relations matters.
Partner with managers on performance management, coaching, corrective action, and disciplinary processes.
Prepare and maintain documentation related to verbal warnings, written warnings, final warnings, performance improvement plans, and other corrective actions.
Conduct or assist with employee investigations, workplace complaints, and other employee relations matters while maintaining confidentiality and neutrality.
Provide guidance to managers regarding appropriate and consistent application of company policies and procedures.
Identify employee relations trends and recommend solutions to improve workplace culture and employee engagement.
Escalate complex or high-risk employee relations matters to senior HR leadership or appropriate legal resources.

HR Administration & Employee Records

Maintain accurate and confidential personnel files and HR records for employees of both companies.
Ensure employee documentation is complete, current, and maintained in accordance with company policies and applicable legal requirements.
Manage employee status changes, including new hires, promotions, transfers, pay changes, leaves of absence, and terminations.
Maintain required employment records and documentation, including I-9s and other required forms.
Support compliance with required federal, state, and local employment regulations.
Maintain and update HRIS and employee information systems.
Generate HR reports and provide data and insights to leadership as requested.

Recruiting, Onboarding & Offboarding

Support recruitment efforts, including job postings, candidate communication, interview coordination, background checks, and offer processes.
Assist managers with workforce planning and staffing needs across both companies.
Coordinate new hire onboarding and ensure completion of all required employment documentation.
Conduct or coordinate new hire orientation and HR policy training.
Manage employee offboarding processes, including exit documentation, final pay coordination, benefit notifications, company property return, and exit interviews when applicable.
Ensure employee status changes are accurately communicated to payroll, benefits, and management.

Benefits & Leave Administration

Assist employees with questions regarding company benefit programs and serve as a liaison with benefit providers and brokers.
Support benefits enrollment, qualifying life events, and annual open enrollment processes.
Assist with administration and tracking of employee leaves of absence, including applicable federal and California leave requirements.
Coordinate with payroll and benefits providers to ensure accurate employee status and benefit deductions.

Compliance & Policy Administration

Stay informed regarding changes to applicable federal, California, and local employment laws and regulations.
Assist in maintaining and updating employee handbooks, HR policies, procedures, and forms.
Ensure consistent application of company policies across both organizations while recognizing the unique needs of each business.
Assist with required workplace postings, employee notices, and compliance requirements.
Support internal HR audits and identify areas of potential compliance risk.
Maintain strict confidentiality of employee, payroll, medical, and other sensitive information.

HR Support & Business Partnership

Build strong working relationships with employees, managers, and leadership across both companies.
Provide day-to-day HR guidance and support to managers and employees.
Assist leadership with organizational changes, employee communications, and HR initiatives.
Promote a professional, respectful, and inclusive workplace culture.
Help develop and implement HR processes that improve efficiency, consistency, and employee experience.
Support special HR projects and other duties as assigned.

Qualifications

3+ years of progressive HR Generalist or HR-related experience preferred.
Experience supporting multiple locations, business units, or companies strongly preferred.
Working knowledge of California employment laws and regulations required.
Experience with payroll processing and timekeeping systems required.
Strong understanding of wage and hour requirements, including overtime, meal and rest periods, and timekeeping practices.
Experience handling employee relations, performance management, investigations, and disciplinary documentation.
Experience maintaining confidential personnel records and HR documentation.
HRIS experience required; experience with payroll and timekeeping platforms preferred.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong judgment, discretion, and ability to maintain confidentiality.
Ability to work independently while collaborating effectively with leadership and management.
SHRM-CP, SHRM-SCP, PHR, or SPHR certification is a plus.
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred, or equivalent professional experience.

Location & Travel

Must be located in Southern California.
This position may require periodic travel between company locations and/or business operations as needed.
Ability to travel locally between business locations is preferred.

Pay: $31.00 - $35.00 per hour
