Atkins Law Firm is seeking a friendly, dependable, and highly organized Legal Administrative Assistant / Client Services Coordinator to join our team.

Our firm assists individuals and families with estate planning, probate, and guardianship matters. Many of our clients contact us during important, stressful, or unfamiliar periods in their lives. We are looking for someone who understands that excellent client service means being warm and compassionate while also being organized, responsive, professional, and consistent.

This position is often the first point of contact for potential and existing clients and plays an important role in keeping our office and client matters running smoothly.

The ideal candidate enjoys working with people, communicates confidently by phone, email, and text, follows through without needing constant reminders, and takes pride in keeping things organized.

Primary ResponsibilitiesClient Intake & Lead Follow-Up

Answer and professionally route incoming telephone calls.
Respond to prospective client inquiries by phone, email, and text.
Follow up consistently with prospective clients who have contacted the firm.
Enter and maintain accurate information regarding leads and prospective clients.
Schedule consultations and send appointment confirmations and reminders.
Send intake forms and follow up to obtain requested information.
Track prospective clients through the intake process and document follow-up efforts.
Provide prospective clients with approved information about the firm's services and consultation process.

New Client Onboarding

Assist new clients with completing engagement and onboarding documents.
Confirm receipt of signed engagement agreements and required forms.
Set up client payment plans according to firm procedures.
Process payments and provide receipts as appropriate.
Create and organize new electronic and physical client files.
Ensure required documents and client information are collected and properly saved.
Maintain client and matter information in the firm's systems.

Client Communication

Serve as a friendly and professional point of contact for existing clients.
Respond promptly to routine client questions and requests.
Provide administrative status updates when appropriate.
Request missing documents and information from clients.
Document important client communications in the appropriate file or system.
Route substantive legal questions to an attorney.
Follow up with clients regarding appointments, documents, payments, and other outstanding administrative matters.

File & Case Administration

Maintain organized electronic and physical client files.
Scan, upload, name, and save documents according to firm procedures.
Prepare routine administrative correspondence.
Assist with maintaining matter checklists and tracking outstanding administrative tasks.
File attorney-approved documents with courts and other agencies as directed.
Save filed copies, confirmations, and related correspondence to client files.
Monitor filing confirmations and promptly notify the attorney of rejected filings or other issues.
Assist with administrative file-closing procedures.

Calendar & Scheduling

Maintain the attorney's calendar.
Schedule consultations, client meetings, hearings, deadlines, and other appointments.
Confirm appointments with clients.
Help prevent scheduling conflicts and maintain accurate calendar information.
Ensure the attorney has necessary documents and information available for upcoming appointments and meetings.

Mail & Office Administration

Receive, date, scan, log, and distribute incoming mail.
Prepare and log outgoing mail and deliveries.
Save client-related correspondence to the appropriate file.
Maintain the reception and client-facing areas in a clean, welcoming, and professional condition.
Monitor office supplies and notify the appropriate person when supplies need to be ordered.
Assist with printers, scanners, postage, and other routine office needs.
Perform other administrative duties necessary to support the efficient operation of a small law office.

Payment & Accounts Receivable Support

Establish client payment plans according to firm policies.
Monitor scheduled client payments.
Send approved payment reminders.
Identify delinquent accounts and bring them to the attorney's attention.
Maintain accurate administrative records regarding client payments.

Qualifications

Prior administrative, receptionist, customer-service, or office experience required.
Prior law-office experience is preferred but not required for an otherwise strong candidate.
Strong written and verbal communication skills.
Strong organizational and follow-through skills.
Comfortable using email, calendars, spreadsheets, document-management systems, and web-based software.
Ability to learn the firm's procedures and consistently follow established workflows.
Professional telephone manner and client-service skills.

Important Professional Responsibilities

Because this position involves access to confidential and privileged information, the Legal Administrative Assistant / Client Services Coordinator must maintain strict confidentiality regarding all client and firm matters.

This is an administrative position. The employee may provide clients with approved administrative and procedural information but may not provide legal advice, interpret legal documents, recommend legal strategies, or answer substantive legal questions. Legal questions must be referred to an attorney.

Pay: From $13.00 per hour
