Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your proactive approach and excellent communication skills will support administrative functions, manage client interactions, and assist with office tasks. This position offers an exciting opportunity to develop your skills in a fast-paced environment while making a meaningful impact on our team’s productivity and success.

Responsibilities

Handle incoming calls with professionalism and courtesy
Perform data entry and maintain accurate records using spreadsheets, Microsoft Office applications, and specialized software such as quickbase and Fast Field
Must be organized and able to follow through on tasks while determining priorities of tasks to ensure metrics are met
Provide exceptional customer service by responding promptly to client inquiries via phone or email, ensuring positive interactions and support
Provide professional and positive interactions and support to our team of technicians and management

Requirements

Proven experience in an office environment with strong clerical skills and familiarity with office practices
Proficiency in Microsoft Office suite (Word, Excel, Outlook) along with strong typing, data entry, and proofreading abilities
Technical proficiency with computer literacy including spreadsheets, productivity software, and general office equipment
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Strong communication skills both verbal and written; bilingual abilities are a plus for diverse client interactions
Prior experience with office operations or personal assistant roles is required
Knowledge of quickbase or similar accounting software is preferred
Demonstrated ability to manage time efficiently while maintaining attention to detail
