Full Job Description

Mission Statement:
Committed to kindness in service to the community since 1931, the Humane Society of Sonoma County is a donor-supported safe haven for animals. Our mission is to save lives and benefit the wellbeing of pets and their people with kindness, innovation, and leadership.

SUMMARY:
Under the supervision of the Community Programs Senior Manager, the Community Programs Coordinator is responsible for assisting across multiple program areas; Community Services, Foster, and Volunteer Services at our Petaluma campus. This role provides critical operational and administrative support to the Community Programs team.

This role reflects a values-driven professional who encompasses humility, collaboration, and
care for animals and humans alike. You thrive in a team environment, are skilled in both
customer service, and actively support the mission and goals of HSSC to enhance the organization’s standing in the community, strengthen the organization’s operations, and improve the quality of life for animals in our community.

Key Responsibilities:

Community Services:

Assists in development, implementation, and maintenance of pet food pantry and other extension services at the Petaluma campus.
Picks up, organizes, and sorts donations for the pet food pantry and distributions.
Maintains positive relationships with diverse community organizations and their clients to increase collaboration and support additional opportunities.
Work, train, and supervise volunteers for the pet food pantry, pet food distributions, and community outreach events.
Maintain relationships with local animal and human service organizations.
Help people access HSSC services through outreach and community referrals.
Maintain pet food pantry organization and cleanliness.
Travel between campuses as necessary for program development and maintenance (use of company vehicle or mileage reimbursement).
Maintain confidentiality and professionalism while handling sensitive situations or information.

Foster Care:

Assists with placement and care of foster animals from the Petaluma shelter.
Helps to identify concerns prior to animals leaving for foster care, including conducting medical exams and administering treatments and preventatives.
Maintains foster supplies (food, formula, scales, warming discs, etc.) and creates kits for foster animals to go out with.
Coordinate with medical, behavioral team and Santa Rosa foster supervisor for support as needed
Tracks data for foster animals and volunteers at the Petaluma campus.
Train foster volunteers on foster policies and procedures.
Communicate quickly and effectively with foster volunteers and provide exceptional customer service.
Maintain accurate record keeping through shelter buddy shelter software.

Volunteer Services:

Actively encourage and support volunteer participation in all program areas.
Coordinate volunteer recruitment, orientation, and training.
Administrative tasks including database management; tracking and recording active and inactive volunteers, their hours, and level of training; document collections; and all other various administrative tasks to ensure complete and accurate record keeping.
Attend community events and volunteer recruiting opportunities.
Engage and communicate with volunteers regularly, manage interpersonal matters, and address questions and problems from and among volunteers.
Assist in implementing plans for volunteer recognition and appreciation.
Maintain relationships with volunteers.
Maintain volunteer job descriptions.
Continue the growth of the program by finding new opportunities for volunteers.
Support special volunteer assignments as assigned.

MINIMUM QUALIFICATIONS:

Advanced customer service or working with diverse groups or underserved communities.
General animal care and behavior related knowledge from prior work, internships, or volunteer experience.
Effective oral and written communication skills including public speaking and presentation skills.
Bi-lingual (English/Spanish) required.
Willingness to work flexible days and hours including weekends/holidays.
Comfortable using a computer for daily tasks, including navigating a web browser, managing files and folders, and typing accurately
Experience using Microsoft Teams for messaging, video calls, and team collaboration
Ability to learn and use ShelterBuddy for animal records, intake, and daily shelter operations
Ability to learn and use Volgistics for volunteer scheduling and record management
Comfortable navigating multiple software systems simultaneously and entering data accurately and efficiently

KNOWLEDGE, SKILLS, AND ABILITIES:

Comfort navigating change and working in fast-paced environments and managing multiple projects at once.
Ability to cultivate and maintain positive work relationship with volunteers, staff, and management.
Excellent communication skills; clear, kind, and culturally aware.

Must be able to sit; stand, walk, use hands to handle objects/operate keyboards and telephones; reach with hands and arms; talk and hear.
Specific vision abilities required by the job include close vision, distance vision, depth perception, and the ability to adjust focus.

WORK ENVIRONMENT:

A busy office and working environment with frequent exposure and handling of animals with unknown behaviors and temperaments. Exposure to moderate noise levels (such as barking dogs, ringing phones).
