Full Job Description

Big River Repair is looking for a knowledgeable, organized, and customer-focused person to take ownership of our parts counter.

This is a central role in the shop. You will work directly with customers, technicians, vendors, service writers, and management to identify and source parts, process counter sales, receive orders, maintain inventory, and make sure the correct parts are available for active repair jobs.

This is not a back-room-only parts position. The parts counter is one of the first points of contact for our customers, so strong communication and customer service skills are essential.

Big River Repair is currently improving its shop structure, workflow, systems, and division of responsibilities. This position is an important part of that process and will have clear ownership of the parts-counter function.

Parts Counter and Customer Service

Greet and assist walk-in parts customers
Answer incoming parts calls
Help customers identify the correct truck, trailer, or equipment parts
Process parts counter sales accurately
Provide pricing and availability information
Communicate professionally when parts are unavailable, delayed, or backordered
Follow up with customers when ordered parts arrive
Help customers find practical solutions without making promises the shop or vendor cannot meet
Maintain a helpful, professional experience at the front counter and over the phone

Parts Research, Sourcing, and Ordering

Identify and source parts for heavy-duty trucks, trailers, and equipment
Research parts using VINs, serial numbers, unit information, part numbers, measurements, and vendor resources
Request pricing and availability from vendors
Compare cost, availability, quality, and expected delivery dates
Order parts for active repair jobs, counter sales, and inventory
Track outstanding and backordered parts
Communicate parts status to technicians and service staff
Maintain accurate vendor and ordering information

Receiving and Inventory

Receive incoming parts and verify quantities against purchase orders and packing slips
Match parts to the correct service order, customer order, or inventory purchase
Label and route parts to the correct technician, job, customer, or storage location
Maintain organized parts shelves, bins, counter areas, and receiving areas
Assist with cycle counts and inventory corrections
Help maintain accurate part numbers, descriptions, costs, vendors, and locations
Identify low-stock or commonly used parts that may need to be reordered
Prevent customer-job parts from becoming mixed with general shop inventory

Returns, Warranties, Cores, and Credits

Process incorrect, damaged, or unused part returns
Track vendor return authorizations
Manage core charges and core returns
Follow up on warranty claims and vendor credits
Make sure credits are properly documented and communicated to the office
Keep returned parts organized until they are shipped or picked up

Service Department Support

Work closely with technicians to identify and order needed parts
Help service writers gather parts pricing for estimates
Monitor open orders that are delaying repair work
Communicate expected delivery dates and changes
Assist with customer and unit information when needed
Help keep repair jobs moving by following through on parts-related questions
Coordinate with management and the back office when an order, return, credit, or invoice needs additional attention

What We’re Looking For

Parts-counter experience in automotive, diesel, heavy truck, equipment, agricultural, industrial, or a related field is strongly preferred
Mechanical knowledge and the ability to identify or research parts
Strong customer-service and communication skills
Patience when assisting customers who may not know the exact part they need
Strong organization and attention to detail
Ability to manage several open requests without losing track of them
Comfortable using computers, vendor websites, email, and business software
Dependable attendance and consistent follow-through
Ability to work independently while communicating with the rest of the team
Willingness to learn Big River Repair’s systems and improved shop processes

Experience with Fullbay or another repair-shop management system is helpful but not required.

We may consider someone without direct heavy-duty parts-counter experience if they have strong mechanical knowledge, excellent customer service skills, and experience researching or ordering automotive, equipment, agricultural, or industrial parts.

Big River Repair is a growing independent repair company serving heavy-duty trucks, trailers, agricultural equipment, construction equipment, forestry and logging equipment, and other diesel-powered machinery.

We are improving how work moves through the shop by creating clearer responsibilities, strengthening communication, and giving each position ownership of its part of the process.

The person in this role will be the primary point of contact at the parts counter and an important connection between our customers, technicians, vendors, and service department.

Pay: $20.00 - $27.00 per hour
