Overview

We are seeking an energetic and highly organized Receptionist / Manager to serve as the welcoming face of our office and oversee essential administrative operations. This dynamic role combines front desk responsibilities with office management duties, ensuring smooth daily functions and exceptional client communication. The ideal candidate will be proactive, detail-oriented, and possess strong multitasking skills to support a vibrant workplace environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to our team’s success.

Responsibilities

Greet visitors, clients, and vendors with professionalism and a warm attitude, ensuring a positive first impression.
Manage multi-line phone systems, handle phone reception with excellent etiquette, and direct calls efficiently.
Oversee office management tasks including filing, data entry, calendar management, and scheduling appointments.
Support bookkeeping activities using QuickBooks or similar software, including invoicing and expense tracking.
Maintain organized records through accurate filing systems and perform proofreading of correspondence and documents.
Coordinate client communication efforts, providing exceptional customer service and support both in person and via email.
Assist with personal assistant duties such as managing schedules, booking meetings, and handling confidential information with discretion.

Qualifications

Bilingual proficiency is highly preferred to effectively communicate with diverse clients and team members.
Proven office management experience combined with strong clerical skills in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent computer literacy, including data entry, word processing, and familiarity with multi-line phone systems.
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
Exceptional customer service skills with a professional phone etiquette approach.
Previous experience in front desk operations or administrative support roles is desirable.
Personal assistant experience or calendar management expertise is a plus.
