FRONT OFFICE CHECKOUT COORDINATOR

POSITION SUMMARY

The Front Office Checkout Coordinator is responsible for maintaining a productive, organized, and well-managed patient schedule while providing an exceptional checkout experience for every patient. This position plays a key role in keeping the practice running efficiently through schedule management, patient confirmations, collecting payments, presenting treatment plans, assisting with insurance verification, and supporting the clinical team when necessary.

KEY RESPONSIBILITIES

Schedule Management

Take primary responsibility for the daily patient schedule.
Maintain a full, productive, and appropriately scheduled day for the doctors and hygiene team.
Ensure patients are confirmed and prepared for their appointments.
Actively work to fill openings, cancellations, and last-minute schedule changes.
Monitor the schedule throughout the day and make adjustments to maintain productivity and efficient patient flow.
Work closely with the doctors, hygienists, assistants, and front-office team to keep the schedule running smoothly.

Patient Checkout & Financial Responsibilities

Provide patients with a professional, friendly, and efficient checkout experience.
Collect patient payments and accurately process financial transactions.
Review patient balances and estimated financial responsibility at checkout.
Schedule necessary follow-up and continuing-care appointments before the patient leaves whenever possible.
Assist with insurance verification and insurance-related questions when needed.
Clearly communicate financial expectations and payment arrangements to patients.

Treatment Plan Presentation

Serve as the primary front-office team member responsible for presenting doctor-recommended treatment plans.
Review treatment recommendations, estimated fees, insurance estimates, and patient portions clearly and professionally.
Help patients understand the importance and value of completing recommended treatment.
Follow up with patients who have outstanding or unscheduled treatment.
Work to convert diagnosed treatment into scheduled appointments while maintaining a patient-centered approach.

Clinical & Patient-Flow Support

Assist the clinical team when needed to maintain efficient patient flow.
Seat patients when necessary.
Take dental X-rays when appropriately trained and permitted.
Assist chairside or provide other back-office support when needed.

Daily Morning Huddle & End-of-Day Reporting

Participate in and help coordinate the daily Morning Huddle.
Assist with completing the Daily Morning Huddle Report and End-of-Day Report.
Help identify schedule concerns, openings, treatment opportunities, outstanding balances, and other issues for the Morning Huddle.
Communicate important scheduling and patient information to the team.
Ensure assigned daily reporting responsibilities are completed accurately and consistently.

KEY PERFORMANCE EXPECTATIONS

Maintain a top-notch, productive schedule and minimize preventable openings.
Collect patient payments accurately and consistently.
Present treatment plans confidently, professionally, and clearly.
Help maximize treatment acceptance and scheduled treatment.
Provide exceptional customer service and communicate effectively with patients and team members.
Participate actively in the Morning Huddle and complete assigned Morning Huddle and End-of-Day reporting every working day.
Remain flexible and assist both the front and back office when necessary for the overall success and flow of the practice.

POSITION STANDARD

The ideal Checkout Coordinator is organized, proactive, dependable, confident with patients, financially detail-oriented, and highly aware of the schedule at all times. This position requires someone who takes ownership of the schedule and consistently looks ahead to keep the practice productive, organized, and running smoothly.
