Full Job Description

About the Role

ProEthic Building Services is seeking an experienced Internal Operations Manager to take ownership of our day-to-day accounting and internal administrative operations.

This is a hands-on role responsible for Accounts Receivable, Accounts Payable, QuickBooks Online, payroll, bank and credit card reconciliations, vendor and subcontractor management, HR administration, and office operations.

We are looking for someone who is highly organized, accurate, proactive, and comfortable taking full ownership of deadlines and responsibilities.

A bachelor’s degree, hands-on QuickBooks Online experience, and vendor management experience are required for this position.

Key Responsibilities

Manage day-to-day Accounts Receivable and Accounts Payable
Maintain accurate accounting records in QuickBooks Online (QBO)
Perform bank and credit card reconciliations
Process and manage payroll
Assist with month-end close and financial reporting
Manage vendor and subcontractor invoices, payments, and records
Oversee vendor and subcontractor onboarding and compliance documentation
Track contracts, insurance certificates, and required vendor documentation
Support employee onboarding, offboarding, benefits, and HR administration
Maintain accurate employee and company records
Oversee recurring office and administrative responsibilities
Identify discrepancies, resolve issues, and proactively communicate concerns
Ensure deadlines and recurring responsibilities are completed accurately and on time

Required Qualifications

Bachelor’s degree – REQUIRED
3+ years of hands-on QuickBooks Online experience – REQUIRED
3+ years of Accounts Receivable and Accounts Payable experience
Experience personally processing and managing payroll
Experience performing bank and credit card reconciliations
Vendor management experience – REQUIRED
Experience reviewing invoices and managing vendor payments
Strong understanding of accounting and financial recordkeeping
Excellent attention to detail and organizational skills
Ability to independently manage multiple deadlines and priorities
Strong follow-through, accountability, and communication skills

Experience with subcontractor management, HR administration, employee benefits, and service-based businesses is strongly preferred.

Compensation: $68,000–$72,000 annually, based on experience.
