Full Job Description

We are a private practice cardiology office located in the East Valley of Arizona, serving patients across the region. We’re seeking a highly trusted, detail-oriented professional to serve in a dual role capacity—supporting both executive leadership and core HR operations. This role requires strong discretion, excellent follow-through, and the ability to switch priorities seamlessly in a confidential healthcare-adjacent environment.

Job Summary
The Executive Assistant will report to the CEO and Director of HR. The successful candidate will manage executive scheduling and high-level administrative support, while maintaining strict confidentiality and supporting HR onboarding/offboarding processes, training coordination, payroll system support, document handling, and employment documentation workflows.

In the executive assistant capacity, the role will provide real-time and proactive support for meetings, executive note-taking/dictation, calendar coordination, and coordination of high-level internal corporate meetings. In the HR assistant capacity, the role will support onboarding and offboarding, HR training (including EMR training support), sensitive document filing, payroll administration workflow assistance, presentation creation for meetings and written/organized documentation for HR policies, procedures, and reporting.

Executive Assistant Responsibilities:
Maintain and update calendars with accuracy and urgency awareness.
Coordinate travel/meeting logistics and identify scheduling conflicts for CEO meetings.
Attend corporate and executive-level meetings. Dictate and transcribe notes from highly sensitive conversations with strict confidentiality.
Assist with capturing action items, follow-ups, and summaries for leadership.
Help set up partner meetings and high-level internal meetings.
Coordinate agenda preparation support, room/location readiness, attendee lists, and materials.
Assist with corporate events, including scheduling support and on-the-day coordination.
Support leadership requests related to executive priorities and time-sensitive needs.
Provide routine executive assistant duties such as document preparation, formatting, and organization.
Conduct limited errands within a 20-mile radius when needed.
Visit other office locations as required.
Serve as a trusted point of support with discretion, professionalism, and reliability.
Frequently act as a witness during employee-related conversations—ensure proper documentation practices and confidentiality protocols.

HR Assistant Responsibilities:
- Support onboarding workflows for new hires, including asset setup and access coordination.
- Support offboarding workflows, including return/removal of company assets and access as applicable.
- Maintain organized checklists and track completion milestones.
- Coordinate allocation of company assets (e.g., laptops, phone lines/devices, access credentials as appropriate).
- Ensure assets are properly returned and documented during offboarding.
- Track asset status using internal tools/spreadsheets/processes.
- Assist with scheduling and coordination of EMR training for new employees.
- Support tracking training completion and readiness prior to start dates.
- Coordinate with relevant leaders/trainers to ensure proper training documentation exists.
- Support the payroll workflow through the HR/payroll system as assigned.
- Help maintain employee data accuracy (as permitted by role and access).
- Ensure HR changes requiring payroll updates are submitted on time.
- Support new hire training processes beyond EMR (as defined by HR).
- Coordinate required onboarding tasks and verify completion of initial documentation.
- File, scan, maintain, and organize confidential HR documents accurately.
- Handle sensitive records with appropriate security practices.
- Maintain organized records for employee files in compliance with office procedures.
- Assist with writing and updating job descriptions, HR documents, reports, and policies/procedures.
- Dictate or transcribe highly sensitive content for corporate meetings when required.
- Produce clear, professional documents suitable for internal distribution.
- Produce reports as assigned for the CEO and Director of HR.
- Support HR projects and respond to requests with promptness and accuracy.
- Handle highly sensitive and confidential employment topics.
- Maintain professional communication and strict confidentiality in all interactions.

Works closely with:
- Department leadership and managers
- Administrative and clinical teams (as relevant to scheduling and onboarding needs)
- Payroll processing function (internal or external, depending on office process)

Required Qualifications:
- Professional Administrative Experience
- Proven experience as an executive assistant and/or HR support role (or equivalent combined administrative and HR experience).
- Demonstrated ability to handle highly confidential employee information with discretion.
- Comfortable acting as a witness in employee conversations while maintaining strict confidentiality.
- Excellent verbal and written communication skills.
- Strong grammar and ability to draft and edit professional documentation.
- Proven success managing calendars, meeting logistics, and competing priorities.
- Strong attention to detail in scheduling, confirmations, and meeting preparation.
- Comfortable using office technology and HR/administrative systems (EMR training coordination experience preferred).
- Ability to learn HR/payroll workflows quickly.
- Highly dependable with strong follow-through.
- Professional demeanor in fast-paced, healthcare-adjacent environment.

Preferred Qualifications
- Experience in healthcare administration, cardiology practice, or multi-office medical administration.
- Experience supporting onboarding/offboarding processes and HR documentation management.
- Familiarity with EMR training workflows (even if not directly implementing the EMR).
- Experience drafting job descriptions and internal HR policies/procedures.
- Experience coordinating corporate events and executive meeting logistics.

Work Location & Travel/Errand
- Primary location: East Valley, Arizona.
- Local errands and inter-office travel: required within approximately a 20-mile radius as needed for employee-related matters, witnessing conversations, or HR process completion.

Work Schedule
- Full-time schedule, Monday - Friday
- Flexibility may be required for meeting schedules, corporate events, or time-sensitive HR needs.

Pay: From $27.00 per hour
