Job Summary: Analyst – Prevailing Wage & Apprenticeship

Position Type: Long-Term Contract (Targeting through End of 2027)

Location: Scottsdale, AZ (Hybrid: 3 days/week)

Schedule: Full-Time, Standard 40-Hour Work Week (Flexible day shifts)

Overview

We are seeking an organized, detail-oriented Prevailing Wage & Apprenticeship Analyst to support energy tax credit compliance and audit readiness. Sitting in a small, collaborative tax team, this role is responsible for reviewing, organizing, and tracking high-volume compliance documentation submitted by various external contractors and vendors.

Key Responsibilities

Document Audit & Verification: Review incoming subcontractor payroll, worker roster, and apprenticeship files against monthly compliance checklists.
Tracker & File Management: Maintain internal tracking logs, upload/download records, and apply strict folder organization and naming conventions across SharePoint.
Issue Escalation: Flag missing, incomplete, or overdue documentation and coordinate with project leads and third-party vendors for follow-up.
Reporting Support: Run routine monthly status reports and pull standard document packages for financing and audit handoffs.

Qualifications & Key Skills

Experience: 1+ years of administrative, document control, compliance, or data entry experience.
Technical Skills: Proficiency in MS Office (specifically navigating and entering data into Excel).
Adaptability: Ability to interpret data across varied formats (payroll systems and vendor templates differ per project).
Core Traits: High attention to detail, strong self-starter mindset, and comfort with routine, checklist-driven tasks.
Education: A college degree is preferred but not required.

Responsibilities

Manage multi-line phone systems, directing calls with professionalism and courtesy using excellent phone etiquette
Handle front desk duties, greeting visitors, and providing outstanding customer support in person and over the phone
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records
Perform data entry tasks accurately using spreadsheets, Microsoft Office applications, Google Workspace, and bookkeeping software as needed
Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
Support office management activities including supply ordering, inventory tracking, and general administrative tasks
Prepare correspondence, Word processing documents, proofread materials for accuracy, and ensure clarity in all communications

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and collaboration
Strong computer literacy with experience in data entry, spreadsheets, and productivity software
Excellent organizational skills with the ability to multitask effectively in a busy office environment
Bilingual abilities are highly desirable to assist diverse client needs and enhance communication efforts
Previous clerical experience or office management background is preferred for seamless integration into daily operations
Knowledge of QuickBooks or similar bookkeeping software is a plus for financial recordkeeping tasks
Exceptional customer service skills with a friendly demeanor and professional phone communication techniques
Experience working as a medical or dental receptionist or personal assistant is advantageous for understanding specialized workflows
