About the Responsibilities
An Enterprise Records Management Administrator will implement and administer enterprise records and information management programs at CAP. This includes:

Serve as the enterprise technical expert on electronic and non-electronic records management issues.

Ensure compliance with all industry standards, state and federal regulations, and best practices.

Work to build records and information management governance and functionality into the enterprise architecture and to ensure systems incorporate records and information management principles appropriate to the records/information assets they support.

Plan, organize, review, coordinate and collaboratively work with business units in establishing controls for enterprise records activities.

Ensure that CAP personnel are knowledgeable and receive records management training appropriate to their needs.
Some of the responsibilities include:
1. Program Oversight. Administer and implement the CAP Records and Information Management (RIM) policy in accordance with applicable state and federal laws and industry best practices through assessment, restructuring of existing program, working collaboratively with the enterprise business units for effective alignment with CAP's business purposes and mission. Perform strategic analysis, planning, program outreach, metric development, enterprise support, and ensure that appropriate information governance and accountability measures are in place.
2. Compliance. Ensure company-wide compliance and governance with the records, information and content management program through guidelines, training and presentations to all employees at all levels. Keep current with information technology, related legal and industry standards, regulations and emerging practices and their impact on the planning and implementation of CAP's information management strategies. Implement policy and governance while collaborating with Legal, Internal Audit, IT, Enterprise Security and impacted business units, on the use of records management tools to ensure best practices and agency compliance with existing Federal and Arizona state statutes.
3. Training. Coordinate records management training for CAP staff. Provide business unit support in records, information, and content management standards including organizational and access procedures, records retention and disposition schedules, imaging standards, essential records protection, and content security.
4.Specialist. Assist and provide technical expertise for business units in developing processes for the appropriate handling of active and inactive records. Perform analysis and related activities to ensure CAP business records and content are accurately captured into enterprise content management systems. Utilize specialty tools to support business units in their removal of redundant, outdated and trivial items and assist in bulk metadata and classification assignments. Demonstrate analytical ability in applying resource management and technology in a wide variety of disciplines and environments. Assists with administration of enterprise content management system(s). Administer legal holds when identified from the Legal department. Support the essential records and long-term/archival records programs when needed. Administer vendor invoices (document disposal, off-site storage, etc.) ensuring accurate charges and inventory. Receive, track, process and fulfill public records requests through coordination with relevant business units.
About the Qualifications

Bachelor's degree (or higher) in Business Administration, Records and Information Management, or a related field; OR an equivalent combination of education, training, certification and experience which must include a high school diploma/GED plus an additional four (4) years of related experience.

Five (5) years of progressively responsible experience in information management, project solutions, and/or project implementations in areas such as administrative, engineering, financial, and litigation.

Excellent organizational, interpersonal, and customer service skills, as well as strong analytical and oral and written communication skills.

Ability to recognize the need for change, propose solutions and ensure that projects are implemented.

PREFERRED QUALIFICATIONS-
Demonstrated analytical ability in applying information resource management and technology in a wide variety of disciplines and environments. This includes data principles, workflow management, electronic document and content management, e-mail management and information management systems.

Strong working knowledge of computer hardware, software, networking and the implementation and support of these resources as related to information management (retention management, taxonomy management, etc.)

Skilled in Agile methodology for project implementations.

Ability to respond with flexibility to changing program demands and work as a productive team member in an environment of collaboration.

Ability to work with diverse groups, achieve consensus and follow-up on tasks in a timely manner.

Leadership experience.
Preferred Certifications or Licenses:-
ICRM/CRM Certified Records Manager, AIIM CIP Certified Information Professional, and/or ARMA IGP Information Governance Professional.
