Operations Coordinator

Connections In Homecare & Communities

Position Summary

The Operations Coordinator plays a critical role in supporting the day-to-day operations of Connections In Homecare & Communities. This position serves as a primary point of contact for caregivers, clients, families, and prospective clients while providing administrative, intake, recruiting, onboarding, and scheduling support.

The ideal candidate understands that no two days are exactly alike in home care. This position requires flexibility, responsiveness, and a willingness to adapt to changing priorities. When urgent staffing needs, client concerns, or operational issues arise, the Operations Coordinator must be prepared to pivot quickly and assist where needed.

Because this position supports a 24/7 home care operation, responsiveness and reliability are critical. Candidates must be comfortable remaining available during scheduled on-call periods and responding promptly to urgent calls and text messages when they arise.

Essential Duties & Responsibilities

Administrative Operations

Answer incoming phone calls and assist callers with questions or concerns.
Monitor and respond to emails, text messages, and other communications.
Maintain accurate electronic and physical records.
Complete data entry and administrative projects.
Assist with compliance tracking and documentation management.
Support daily office operations and special projects as assigned.

Client Intake Support

Conduct initial intake calls with prospective clients and families.
Gather and document client information accurately.
Prepare intake paperwork and required documentation.
Coordinate with management regarding prospective client needs.
Maintain organized client records.
Receive training on case opening procedures and provide occasional support when necessary if office leadership is unavailable.

Recruiting & Hiring Support

Review incoming caregiver applications.
Contact candidates regarding employment opportunities.
Schedule interviews.
Conduct virtual interviews.
Maintain candidate records and recruiting documentation.
Assist with hiring and onboarding processes.

Onboarding & Compliance

Assist with new hire onboarding.
Collect required employment documentation.
Coordinate background checks and employment verification processes.
Ensure employee files remain complete and compliant.
Assist with tracking certifications, training, and compliance requirements.

Scheduling Support

Assist caregivers with scheduling-related questions.
Communicate schedule changes and updates.
Support staffing efforts for open shifts.
Provide scheduling assistance during office hours and while on call.

Communication Expectations

Respond promptly to phone calls, text messages, and urgent communications.
Maintain professional communication with clients, families, caregivers, and office staff.
Demonstrate reliability and responsiveness during both office hours and scheduled on-call periods.
Serve as a dependable resource for after-hours operational support.
Possess a strong sense of urgency and follow-through when addressing staffing and client care needs.

On-Call Responsibilities

This position participates in the agency's after-hours on-call rotation.

During on-call coverage periods, the Operations Coordinator is responsible for:

Responding promptly to phone calls and text messages from caregivers, clients, and families.
Addressing caregiver call-offs and schedule changes.
Coordinating caregiver coverage for open shifts.
Communicating urgent matters to management when necessary.
Providing support for after-hours operational issues.

On-call coverage is not typically a continuous workload throughout the evening or overnight hours. Most coverage periods involve being available to respond when issues arise rather than actively working for the entire duration.

The ideal candidate must be dependable, remain reachable during on-call periods, and be capable of responding to urgent matters in a timely and professional manner.

In rare circumstances when caregiver coverage cannot be secured, the Operations Coordinator may be asked to assist with shift coverage.

Schedule Options

Option 1

Sunday On-Call Coverage: 8:00 AM Sunday – 8:00 AM Monday
Sunday Office Hours: 9:00 AM – 4:00 PM
Monday – Thursday Office Hours: 9:00 AM – 4:00 PM
Two additional weekly on-call coverage periods: 6:00 PM – 7:00 AM

Option 2

Monday – Friday Office Hours: 9:00 AM – 4:00 PM
Four weekly on-call coverage periods: 6:00 PM – 7:00 AM

Qualifications

High school diploma or equivalent required.
Previous administrative, healthcare, scheduling, recruiting, customer service, or office experience preferred.
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Ability to multitask and manage competing priorities.
Comfortable working independently and making decisions when appropriate.
Proficient with Microsoft Office and web-based software platforms.
Ability to maintain confidentiality and professionalism.
