Full Job Description

Position Summary

Friedman Recycling is seeking an experienced and hands-on Accounting & Administrative Manager to oversee the day-to-day accounting, payroll, billing, human resources, and administrative operations for our integrated recycling and waste hauling company.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple responsibilities in a fast-paced industrial environment. This position requires a strong accounting foundation combined with payroll, HR, operational oversight, and leadership experience.

Key Responsibilities

The primary job responsibilities of the Accounting & Administrative Manager include, but are not limited to the following:

Accounting & Financial Management

Manage the monthly, quarterly, and year-end close process.
Prepare journal entries, account reconciliations, accruals, and financial analyses.
Maintain the general ledger and ensure compliance with GAAP.
Assist in the preparation of monthly financial statements and supporting schedules.
Assist leadership with budgeting, forecasting, and financial reporting.

Billing & Revenue Management

Prepare and process daily, weekly, and monthly customer billing
Manage customer database
Investigate and resolve customer billing discrepancies.
Prepare aging reports and communicate collection status to management.

Payroll Administration

Prepare and process biweekly payroll for hourly and salaried employees.
Maintain payroll records, employee deductions, garnishments, benefits, and PTO tracking.
Ensure compliance with federal, state, and local payroll regulations.
Prepare and file payroll tax deposits and related reporting.

Human Resources Management

Administer employee onboarding, new hire documentation, and personnel files.
Support recruitment, hiring, and employee retention efforts.
Coordinate employee benefits enrollment and administration.
Track employee certifications, training, and licensing requirements.

Accounts Payable & Vendor Administration

Oversee accounts payable processing and vendor payment schedules.
Supervise the review of invoices, coding, approvals, and vendor reconciliations.
Ensure timely payments and maintain positive vendor relationships.

Scale Operations Supervision

Oversee scale house operations and related transaction reporting.
Ensure accurate recording of inbound/outbound material weights and ticketing.
Monitor daily activity to ensure timely completion of all paperwork.

Administrative/Office Management

Supervise administrative staff; creating a positive, mutually supportive environment.
Establish work schedules and cross training to ensure full coverage.
Develop and improve administrative processes, work-flows and internal controls.
Support operational departments with reporting and analysis.

Qualifications

Bachelor’s degree in Accounting, Finance, or related field preferred.
5+ years of progressive accounting and administrative leadership experience.
Experience processing payroll and payroll tax reporting.
Proficiency in accounting software, payroll systems, and Microsoft Excel.
Strong organizational, leadership, and communication skills.

Working Environment

· Office environment within an industrial recycling and manufacturing operation.

· Regular interaction with operations, drivers, plant personnel, and customers.

· Extended hours may be required during payroll processing, month-end close, and year-end reporting periods.
