Full Job Description

SUMMARY OF FUNCTIONS

Responsible for scheduling procedures for physicians at various facilities, obtaining and managing medical records, and assisting in schedule coordination. Work with patients to ensure scheduling is completed within a timely manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Schedules, coordinates, and reschedules surgeries for providers at outpatient facilities (i.e Surgery Center, Hospital).

2. Schedules office-based surgeries, for patients with appropriate provider and time/location slot, utilizing appropriate scheduling protocols.

3. Verification of physician orders and triaging of scheduling.

4. Retrieve and respond to all voicemails within 24 hours.

5. Scheduling of Structural Heart Studies including: TAVR, MitraClip, Watchman, TriClip. Interfaces with Nursing team, and Hospital to provide accurate pre-op and post op documentation for quality measures.

6. Maintains and updates physician’s calendar.

7. Effectively communicates with providers on availability, schedule, and surgery coordination.

8. Schedules in-office and hospital based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.

9. Process outside orders and referral, such as MRI, CT, Sleep Study, ect.

10. Interfaces with appropriate vendor staff to ensure all necessary equipment will be on site for hospital-based and in-office procedures.

11. Interfaces with appropriate hospital staff to ensure a cohesive working relationship in providing patient care services.

12. Documents notes/special instructions needed for scheduling in the electronic medical record.

13. Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.

14. Completes accurate documentation of informed consent with patients for procedures and surgeries as needed

15. Provides accurate, detailed information to patients regarding procedure preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.

16. Collaborates with billing team to confirm patient’s insurance provider and either obtain prior authorization or communicate need for prior authorization to appropriate parties as needed.

17. Performs all aspects of patient care in an environment that organizes patient safety and reduces the likelihood of medical/health care errors.

18. Collaborates with providers and hospital staff for Direct Admit orders.

19. Manage and maintain the flow of information to all parties, using all available technologies including but not limited to EMR, desktops, practice email, calendar and internet access points.

20. Effectively communicate with hospital CVOP/CVOR staff by providing required documentation and patient information for all scheduled procedures for physicians.

21. Assist other members of the department as needed.

22. Maintain strict confidentiality.

23. Other duties as assigned.
