Jigsaw Developmental Services is a locally owned, clinician-led ABA provider serving children and families throughout the greater Phoenix area. We intentionally prioritize clinical quality, ethical practice, and meaningful patient outcomes over volume-driven care.

Behind every clinical success is a strong operational foundation — and this role is a key part of that foundation, ensuring our documentation, insurance processes, and regulatory compliance keep pace with the quality of care we provide.

Position Overview

The Documentation & Compliance Coordinator is a detail-driven support role responsible for maintaining accurate case documentation, coordinating insurance correspondence, and monitoring the policies and regulations that govern ABA service delivery. This position blends organized recordkeeping, careful written communication, and applied knowledge of healthcare and regulatory guidelines to keep Jigsaw's operations running smoothly and in good standing.

This role suits a highly organized, discreet self-starter who is comfortable interpreting policy and regulatory language, managing multiple cases and deadlines, and following through independently without close supervision.

Core Responsibilities

Documentation & Records Management

Maintain and organize client and employee records, contracts, and licensure files for audit readiness
Prepare, proofread, and edit documentation, correspondence, and internal communications
Organize and maintain paper and electronic filing systems

Insurance & Case Coordination

Support insurance authorization requests and prepare appeals for claim denials as part of routine case follow-up
Draft and review correspondence with insurance carriers, regulatory bodies, and other stakeholders
Track case status and follow up proactively to keep files current

Regulatory & Policy Monitoring

Monitor and interpret payer policy and regulatory guidelines relevant to ABA services
Track compliance deadlines (licensure renewals, policy updates, contract terms) and flag upcoming requirements
Help maintain internal compliance procedures and documentation standards

Audit & Quality Support

Prepare documentation for internal quality reviews and external audits
Assist with special projects and process improvements across compliance and operations

Cross-Team Coordination

Collaborate with billing, clinical, and administrative staff to resolve documentation gaps
Support scheduling coordination and administrative tasks across the office as needed

Flexibility & Ownership

Work both in-office and, at times, in a home-based or remote capacity depending on need
Anticipate needs and take initiative on tasks without being asked
Exercise sound judgment and discretion when handling sensitive or confidential information
Adapt quickly to shifting priorities in a small, fast-moving organization

Additional Functions

Participate in team meetings and administrative process reviews as needed
Contribute to a positive, supportive, and organized office culture
Represent Jigsaw's mission, vision, and values in all professional interactions

Qualifications

Required

Paralegal certificate/degree, legal studies background, healthcare compliance experience, or 2+ years in medical billing, claims, or related healthcare administration
Sharp attention to detail and strong written communication skills
Comfort reading and applying policy and regulatory guidelines
Ability to manage multiple cases and deadlines independently
Proficiency with document management systems and standard office software (e.g., Microsoft 365 or Google Workspace)
High level of discretion and comfort handling confidential information
Authorization to work in the U.S.
Ability to pass state and federal background checks

Preferred

ABA or behavioral health experience
Experience preparing insurance appeals or navigating claim denials
Familiarity with healthcare, HR, or operations administrative processes
Demonstrated ability to work independently and self-direct priorities
