Kenney Business Solutions is seeking a Document and Records Specialist to perform the full range of analytical worksheet scanning, records management, records destruction, and administrative support tasks in support of the U.S. Food and Drug Administration (FDA)
The U.S. Food and Drug Administration (FDA) ensure the safety and effectiveness of human and veterinary medicines, biologics, and medical devices. FDA also regulates the safety of food, cosmetics, devices that emit radiation, and tobacco products.
Document and Records Specialist

Responsibilities
- Prepare analytical worksheet packages for scanning per the FDA Quality Factor Checklist: remove binding materials and fasteners, verify page completeness and sequence, identify oversized materials requiring special handling, and flag damaged documents for remediation.
- Scan documents to OCR-enabled PDF format on government-furnished equipment; verify image legibility, orientation, and completeness; optimize file size to the SOW-specified 85MB maximum using Adobe Acrobat or equivalent.
- Convert oversized materials exceeding 11 x 17 inches via photocopy or digital camera capture at resolution greater than 6 megapixels.
- Log into LIMS on government-furnished workstation and upload approved worksheet packages to the FDA database; send required email notifications to the corresponding compliance team upon upload.
- Store electronic files in the site repository on government-owned computer systems; maintain complete inventory of all electronic documents; organize, compress, and create backup copies per SOW requirements.
- Organize, box, label, barcode, and index hard copy worksheet packages per FDA retention schedule and supervisor direction; retrieve archived records upon FDA officer request.
- Coordinate box movement to government-designated off-site storage using government vehicle; operate government vehicle only after completing mandatory FDA driver training.
- Support witnessed records destruction per FDA retention schedule; maintain destruction log; provide annual certification to Program Manager for COR submission.
- Provide administrative support including scheduling via Microsoft Outlook and WebEx, meeting minutes and agendas, SharePoint document management, budget tracking in Excel, supply and chemical inventory management, mail receipt and triage, and data entry into LIMS and other FDA laboratory systems.
- Retrieve laboratory supplies, reagents, and chemicals from shipping and receiving and deliver to appropriate laboratory components; assist with inventory audits.
- Complete all required annual FDA training: Computer Security Awareness, Driver Overview and Fleet Card, LIMS, QMiS, and Privacy and Records Management; maintain training records and provide documentation to Program Manager.
- Serve as the Site Lead / Point of Contact to the Program Manager.
Experience
- Demonstrate organizational skills in the management of large quantities of written materials (hard copy and digital), including examples of projects.
- Proficient in Excel, MS Word, and Explorer.
- Resume/CV shall describe experience with MS Word, Excel, programs such as PastPerfect, maintaining databases, organizing, and inventorying.
Qualifications
- U.S. Citizenship.
- High school diploma required.
- Minimum 1 year of experience in document scanning, records management, administrative support, or a related field in a government or regulated industry environment.
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and SharePoint.
- Knowledge of SharePoint, Microsoft Outlook, and WebEx.
- Experience operating document scanners and using Adobe Acrobat or equivalent for PDF creation and optimization.
- Ability to obtain FDA Public Trust clearance.
- Ability to routinely lift and move boxes up to 15 lbs.
- Valid state driver's license.
- Prior federal contractor experience at a regulatory, health, or science agency preferred.
- Familiarity with a Laboratory Information Management System or similar government database preferred.
- NARA Federal Records Management training certificate preferred.
- Experience working in a laboratory, healthcare, or scientific facility environment preferred.
