Job Overview

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Responsibilities

Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel.
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools.
Perform data entry tasks accurately within spreadsheets, databases, and client management systems such as QuickBooks.
Handle clerical duties including filing, proofreading documents, and maintaining organized records.
Support office management by overseeing supplies inventory, processing invoices, and assisting with bookkeeping tasks.
Provide exceptional customer support through clear communication, active listening, and prompt problem resolution.

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with spreadsheets for data management.
Experience with multi-line phone systems and professional phone etiquette is essential.
Bilingual abilities are highly valued to assist diverse client needs effectively.
Technical proficiency in computer literacy including Google Workspace applications, data entry, and office productivity software.
Previous experience as a dental or medical receptionist or personal assistant is a plus.
Demonstrated ability to manage time efficiently while handling multiple tasks in a fast-paced environment.
